  1. Planning a 5K can be complex.

  2. Every complex task can be broken down into bite-sized steps. Your 5K is no different. Planning can be divided into 5 phases. Each phase consists of tasks that should be initiated or completed during that time interval.

  3. Accurate planning is essential. Many Tasks build on previous tasks. If a prior task is incomplete or inaccurate, it will cause problems later in the process Resolving such problems can be costly and time consuming.

  4. Communication is vital! Planning is essential. But, to be functional plans must be communicated to committee members and volunteers during every phase.

  6. PHASE 1: Initial Planning 6 - 12 months before the 5K During this phase you will: 1. Enlist your planning committee and hold initial meetings 2. Create a budget 3. Select and reserve the venue for the 5K 4. Set the date 5. Obtain permits from city and county government agencies 6. Research and determine the time keeping method

  7. PHASE 2: Launching the Plans 6 - 8 months before the 5K During this phase you will: 1. Establish subcommittees and assign responsibilities 2. Develop your marketing plan and begin advertising 3. Recruit recruit sponsors and donors 4. Create the registration website 5. Develop event day program and recruit program personalities and/or musicians

  8. PHASE 3: Finalizing the Plans 60 - 90 days before the 5K During this phase you will: 1. Design and order T-shirts for runners 2. Order trophies and awards 3. Food committee begins planning 4. Solicit items for runners welcome packets 5. Runner registration begins 6. Course measurement and safety is finalized

  9. PHASE 4: Implementation 1 -2 weeks before the 5K During this phase you will: 1. Verify race day volunteers and issue assignments 2. Create and print participant lists 3. Create map of race venue with booth and table locations 4. Compilerunners welcome packets

  10. PHASE 4: Implementation 1 -2 weeks before the 5K During this phase you will: 5. Shop for perishable refreshments 6. Make appropriate signage 7. Create participant tags with numbers 8. Finalize program schedule

  11. PHASE 5: Race Day The day of your 5K One to two hours before the race you will: 1. Set up water stations 2. Make final safety check of track 3. Put out race markers, cones, set up start and finish lines 4. Set up registration area and refreshment tables 5. Direct volunteers to works areas

  12. PHASE 5: Race Day The day of your 5K As the 5K begins you will: 1.Register/check-in runners, distribute welcome packets, number tags, running chips, and t-shirts 2. Begin your opening ceremony 3. Start the race!

  13. PHASE 5: Race Day The day of your 5K Following the race you will: 1. Thank participants, volunteers, and sponsors 2. Post race results 3. Draw for door prizes 4. Issue trophies and awards 5. Clean up venue area
