Berkshire & South Buckinghamshire ASA (Sub regional body of the Swim England South East) County and Age Group Championships 2025 Information for Volunteers In order to help run the meet we need help of volunteers from the attending clubs to monitor specific areas of the leisure centre and perform various tasks. Please arrive before the start of the warm up for which you are volunteering for (ideally 30mins earlier if you are at the Welcome desk, Sports Hall, Spectator Gallery & Changing village areas). These jobs do not require any prior training, the role will be explained fully when you arrive at the leisure centre. There is no dress code for volunteers and all materials will be provided. If you are performing poolside roles, note it can be warm and you may get wet. When you arrive, please report to the welcome desk and the volunteers coordinator will show you where use will be based and what the role requires you to do. For a list of the roles and where they are located leisure centre, please see the next page. The document then gives a brief description of each role. You will also be given a wrist band and sports bib so that you can be identified. The wrist band acts as a pass giving you free access to the spectator gallery for the rest of the day.

Runner Marshalling Area Finish end The shaded areas of the sports hall, pool area and changing village are only accessible to competitors, coaches, TMs and volunteers.
Berkshire & South Buckinghamshire ASA (Sub regional body of the Swim England South East) County and Age Group Championships 2025 Volunteer Role Descriptions Welcome Desk (2 volunteers) Arrive 30mins before start of warm-up. Changing Village Supervisors (3 volunteers + security guard) Arrive 30mins before start of warm-up Welcome swimmers/spectators/coaches/TMs to the meet and answer any questions they have (an info pack will be provided) Monitor the changing area. The security guard will be stationed outside the door. Assist the security guard to ensure only authorised volunteers, coaches and TMs allowed inside (check wrist bands). Handout coaches packs Provide wristbands to registered volunteers/TMs/coaches (lists will be provided for each session) Ensure swimmers are properly dry and dressed (including footwear) when leaving the changing rooms. Direct officials up to the officials room (upstairs in the studio). Stop any bad behaviour by swimmers (security guard assistance available if required), report any problems to the promoter s team. Use of mobiles/cameras prohibited in the changing area Direct swimmers to the sports hall and changing village Direct spectators upstairs to the gallery (they are not permitted in the changing village or sports hall) For safe-guarding reasons, it is important to work as a team, remain in open areas and do not work alone. If any problems arise, contact the promoter s team or leisure centre staff.
Berkshire & South Buckinghamshire ASA (Sub regional body of the Swim England South East) County and Age Group Championships 2025 Volunteer Role Descriptions Sports Hall Supervisors (2 volunteers) Arrive 30mins before start of warm-up. Located in the foyer by the doors into the sports hall. Ensure no members of the public or parents of swimmers access the sports hall (unless using the far sports hall section). Ensure only swimmers, and authorised coaches/Team Managers/volunteers (with wristbands) are allowed inside the sport hall. Ensure swimmers in the sports hall are being looked after by coaches/TMs. No admittance to swimmers if wet or not properly clothed. Address any poor behaviour (if able to) and notify the promoter of any problems Competitor Stewards (4 to 6 volunteers) Arrive 15mins before start of warm-up. Located in the marshalling area of the sports hall (next to the back stairs/entrance to the pool) Explain the warm-up timetable to swimmers (instructions will be provided) Organise swimmers by event heat and lane (as per the provided start sheets) Send out swimmers to the starting blocks in order of heat. 1 heat waiting behind the starting blocks, 1 heat wating in the corridor. For 50m events, an additional heat should wait by the far window Ensure swimmers do not use the back stairs or leave the pool area and return to the sports hall by this route (unless absolutely necessary). Swimmers should return to the sports hall via the changing village.

Spectator Gallery Entry Desk (2 volunteers) Arrive 30mins before start of warm-up. Located upstairs next to spectator gallery entrance Located upstairs by the door to the Spectator gallery Distribute Age Group & Para-swimmer winners medals to (Gold, Silver, Bronze) based on the official results lists provided by our results team (hard copies will be provided to mark up, please do not use results from the website) Collect admission fees, allocate wrist bands and sell programmes (card payments only) Ensure only paying spectators access the gallery. Volunteers are permitted in this area when off duty (check wrist bands).

Monitor the 20m Community Pool Pool not to be used before 9:00am each day (due to other clubs using it) Only to be used when a life-guard present. Ensure swimmers vacate area after warm down Remind swimmers this is not a socialising area If the pool becomes crowded, ask swimmers to leave and restrict access. Report any bad behaviour back to poolside coaches or promoter team. NO DIVING Warm Up Marshal / Refreshments (2 volunteers) Arrive 10mins before start of warm-up. Help monitor the warm-up, instructions will be provided by the Meet Promoter and the Announcer on the arrangements for each lane and timings. Based in the sauna area, next to the main pool Handout sweets and water to the officials poolside during each session. (We will provide the sweets).
