Colleague Training
In July 2021, campus organizations and athletics training sessions will focus on practical exercises with student data, aiming to enhance participants' familiarity with the system. The training emphasizes continuous practice, minimal distractions, note-taking, and active participation through questioning. Updates include academic term definitions, program changes, and the setup of varsity athletics teams within the campus organizations list.

What to expect during these sessions We will be doing functional training meaning you will be working with student data in "real life" scenarios What you will need Colleague-Test opened Your list of test students Notepad to document your tests Questions are encouraged throughout the training session Campus Organizations/Athletics Training 2
What you can do to make this effective training The goal of the training is to get you to a point of comfort in the system. You will need to continue practicing right up to our go-live date willing and open to learning the new processes Be Be as free from distractions as possible Take lots of notes Ask lots of questions Campus Organizations/Athletics Training 3
Whats New? Three regular academic Terms: FA - Fall WI - Winter SU - Summer Course Sections will start with one of the above Continuous Intake Term COR Colleague ID is primary ID Eden ID is now Alternate ID and can be found on Student Index card at top of SPRO Colleague ID is assigned when student is moved to student from Admissions SLATE when application status = ADM or REG There are 335 new Co-op Programs Students will switch in and out of Co-op Programs the same as any other Academic Program now Full year courses All 6-credit hour full year courses will appear as 0 credits in the FA Term and 6 credits in the WI Term Programs and Certificates Programs and certificates are defined separately in Colleague CERT: CCD s = Certificate, credential or diploma Academic Level in Eden = Class Level in Colleague Campus Organizations/Athletics Training

To add new Campus Organization COMT screen Create a 5 letter code starting with VM (Varsity Male) or VW (Varsity Women) and select ADD Enter a description Save and update Campus Organizations/Athletics Training 6
Add members to a Campus Organization Step 1 COMT Screen Detail into Members/Advisors You will be directed to CORM screen Campus Organizations/Athletics Training 7
Add members to Campus Organization Step 2 CORM screen Enter student ID in next available blank line Campus Organizations/Athletics Training 8
Add members to Campus Organization Step 3 Upon entering the student ID on the CORM screen you will be forwarded to the COMD screen Enter the Start Date of the student s association with the varsity team Leave End Date blank until student is no longer associated with the varsity team Campus Organizations/Athletics Training 9
Adding Students to an Organization in a Batch AASM screen Select the Campus Org team ID Enter the start date of the new members Add the student IDs Save and Update Campus Organizations/Athletics Training 10
Viewing a Team Roster CORS screen Name/Address hierarchy should be PREFERRED Enter the term (e.g. 2021FA) Enter the team organizations you wish to view If unsure of acronym, enter elliptical view ( ) and select the appropriate team You can enter more than one team on this screen Save and update twice Either print or hold the report to screen Campus Organizations/Athletics Training 11

Important Things to Remember The Campus Organizations module is also utilized by the Advancement Office The varsity team IDs (VM , VW ) are being utilized by the Financial Aid office to select students for specific athletic awards You cannot delete a line/name from the organization s list You can export the varsity team data into an excel spreadsheet should you need to A process will be needed to review the list of team members and enter End Date as necessary Campus Organizations/Athletics Training 19
