3 Awards Program Summary Three Step Process 01 02 03 APPROVAL International BOD Approves JUDGING Award subcommittee reviews eligible nominations. They deliberate, vote, and recommended a recipient. NOMINATIONS Member determines appropriate award and submits a nomination. Regional RDs Approve
4 A current candidate for any given award may not serve on subcommittee for same award. Recusing a Judge Subcommittee member must recuse him/herself. We wish you the best of luck!
5 Award Program Guidelines Award committees must review and consider all nominations submitted. SPE Awards recognize the accomplishments of individuals. Self-nominations are not permitted. Candidates must be nominated by colleagues (SPE members). The process of recipient selection is fair and transparent. Candidates are judged solely on merit. Candidates should not be notified or congratulated until approval is given by the board. Discussions between committee members during deliberations is strictly confidential.
6 Board Will Not Present Two Awards to One Single Candidate in any Given Year. Exception Distinguished Membership If confronted with this issue: One Candidate Multiple Award Nominations Confidentiality will be maintained. Subcommittee chairs and TD (if relevant) will meet Precedent Candidate presented with award with more perceived prestige. Decision is reported to members of both subcommittees.
7 Committee members may not send stand-in if unable to attend deliberations. Proxy Attendance or Voting If unable to attend, they may: share comments with chair prior to meeting (via email). follow up with chair afterward. Submit their vote to chair or to another committee member. Vote will count toward quorum. If the committee member ultimately attends the meeting, submitted vote automatically revoked.
8 03 02 01 ROUND THREE VOTE FOR 1st ROUND TWO RANKING ROUND ONE RATING Judging - Three Rounds - Teleconference to discuss top candidates (chair s discretion) - Teleconference prior to round 2 voting. - 1 to 10 (10 being best) - 1st place, 2nd place, etc. - Top candidates move to round 2. - Call may be followed by 3rd round vote. - Top ranking move to round 3 (if necessary) - If 2/3 of committee rates candidate in 1st place, candidate is considered selected. - Simple majority required to select. - None of the Above is valid response. - Ties not permitted. Votes must be submitted by deadline to be included. If no suitable candidates, committee may choose not to present the award.
9 Prior to selecting a candidate, ask the 3 following questions: Three Questions Did the candidate do more than any of the others? Did the candidate do enough to merit the award? Does committee agree that general SPE membership would approve of the recommendation?
10 Let the Judging Begin! When judging begins, committee members will receive emailed notification containing the log-in URL. Use your SPE credentials to log-in. First round deadline will be 2-3 weeks from the date judging goes live.

12 Navigating the Judging Platform Confirm the program is the same as award you are judging. Select the correct round.
13 Navigating the Judging Platform Follow the judging instructions. Use box on right to search for candidates and track progress.
Navigating the Judging Platform 14 Use the right column to score candidates. Round 1 1-10 (10 best) Round 2 1st, 2nd, 3rd, etc. Round 3 Vote for 1 View the candidate s nomination in left column. Use the Prev and Next buttons in the left column to navigate throughout the nomination. Use these buttons to page back and forth. *** Navigate Back to list of candidates to score next candidate. *** REMEMBER TO SAVE!
15 Ties are not permitted. What if we have a tie? Subcommittee must decide. Chair will contact committee members who have not voted. For technical awards, TD may step in. For awards without a TD, a teleconference will be scheduled.

18 TIMELINE 21 September - Nominations Open February Award subcommittee orientations 15 February International award nomination deadline. 1 March Regional award nomination deadline. 15 March Judges begin reviewing nominations. 15 May Final recommendations due June Recommendations reported to BOD for approval. July Board approved recipients announced on SPE.org TBA Regional award recipients presented at RD s discretion 16-18 October International awards presented at ATCE in San Antonio, TX, USA
19 Your Participation is Key We count on each committee member to actively participate. It is important to the success of the awards program for each committee member to be proactive in judging responsibilities and to meet stated deadlines. Please make every effort to attend as many deliberation meetings as possible. Doodle polls will be taken to determine best meeting times. Please respond to said polls by posted deadline. Please access your award committee OneDrive folder (will be sent at a later date)and review the rules for the award(s) for which you will judge. Judging should be completed with rules in mind. Log into your SPE.org account to make sure your contact details are current.
