Key points How we use DMPs to start conversations with researchers including getting them thinking about costing implications Research IT our data storage and how we aim to support researchers Future work UoM research costing tool and how that may help with some of the issues around costing data management
Data Management Plans at Manchester Mandatory for every research project ~60% Compliance with this policy Aiming to use as: Educational tool Asset register for GDPR Contact point for starting conversations with researchers
Examples of costing related standard answers Please include details of data storage you plan to use during the project. Will you need additional hardware, encrypted laptops or encrypted recording devices? We you need to use specially trained staff for transcriptions? Will any extra staff or technical support costs need to be factored in?
Examples of storage related standard answers We recommend researchers use the University of Manchester's Research Data Storage (RDS) wherever possible as it offers robust, managed, secure, replicated storage, as well as up to 8TB of (replicated) storage for each research project, free at the point of use. If you are using Research Data Storage, you are able to use this for the long term storage of your data providing a member of the research team remains at the University and has continued access to the service
Charging model for funded research Our RDS system has always charged an annual rate Currently 8TB offered free per funded research project After this allowance storage was previously charged per TB annually Pay Once, Store Forever model: Uncharged allowance of 8TB per funded research project After this allowance, storage subject to a once-only charge per TB
Helping with costing - RDS May 2018 - Moved to a Pay Once Store Forever charging model for Research Data Storage for funded research Unfunded research each academic is entitled to 8TB free storage Data is stored on Isilon our RDS platform Current capacity of 6.0PB, with 3.9PB used Average growth over the last year was 135 TB per month Currently no low-cost storage tier
Principles Principles of evaluation: 1. Encourage use of central IT Services 2. Minimise risk of data loss 3. Minimise risk of sensitive data leaks and GDPR breaches 4. Minimise admin overheads 5. Recognise positive aspects of unfunded research at UoM 6. Minimise costs to UoM
Future work Research costing tool P-drives to be replaced by Microsoft Cloud-based OneDrive storage University staff and students will be entitled to up to 1TB at no charge
University of Manchester costing tool UoM have licensed a bespoke costing tool system called BlackDackel To be integrated with our Research Information System Currently in the build phase
University of Manchester costing tool General objectives: To enable a consistent approach to costing Compliance with funder regulations and internal policy Costing for large-scale, multi-centre projects Improve efficiency and effectiveness To generate research costing reports to improve information management Improved cost recovery
