  5. Leave Requests The following Guidelines do not apply to unforeseen leave We would like a consistent leave notification approach for both DOT Staff & Consultants 5

  6. Vacation requests should be submitted a reasonable time prior to the date/time of the vacation. A reasonable time is at least equivalent to time being requested, though, it is recommended that a request be made as soon as the need or event is known. 6

  7. Leave Requests to WisDOT Supervisor (PM should be made aware by either supervisor or employee) Supervisor is responsible for review, approval and resource coverage. 7

  8. Leave Requests to WisDOT Supervisor (PM should be made aware by either supervisor or consultant) Consulting Firm will propose coverage plan to WisDOT Supervisor. Supervisor is responsible for review and approval of Consulting Firm s resource coverage proposal. 8

  9. How late do we accept load tickets? - Day Late? - Week Late? - Up to the day before the next Estimate? - Substantial Complete? - Tentative Final? - Just prior to Final Estimate? 9

  10. (1) For measurement by the ton, the department will determine weight based on contractor-provided tickets submitted daily. Submit a ticket for each load showing the material, net weight, date, and project ID. - New with the 2017 Standard Specs 10

  11. Concern over projects not being completed on time. Recent examples of projects being very late with high dollar LDs. Be mindful of Section 108 as it relates to project schedules. Contractor s schedules need to conform with the requirements outlined in Section 108. If not request additions and or corrections. 11

  12. Section 108.4.2.3 allows the Project Engineer to request a revised schedule when work is: 14 days behind on a calendar day contract 10 working days behind for a working day contract (Request should be in writing & the expectation is the new contract will have completion ) Contractor has 5 business days to provide a revised schedule. If the Contractor fails to provide a revised schedule the WisDOT PM and Supervisor should be notified. 12

  13. Extra work where additional time is justified as outlined in 108.10 it should be handled with a change order at the time of change. No black-book time. End of the project. Time should not be stopped until all work under pay items are completed. Time does not necessarily stop with the road open to traffic. PMs should be involved and concur with substantially complete and stopping contract time at the end of the project. 13
