  2. Received today at 12:07 UCPath is experiencing intermittent performance across all UCPath applications including candidate gateway and UCPath online. We are working on a resolution and will provide additional information when it is available. 2

Quick Announcements I Upcoming Deadlines BW PayPath deadline today 9/7 (5pm) blackout until 9/10 6am Monthly Transaction deadline (Sept. 20) at 3pm (templates, leaves, etc.) MO PayPath deadline 9/23 (5pm) blackout until 9/28 6am September anticipated high volumes, submit transactions early when possible 3

  4. Quick Announcements II Work Study Positions Please ensure all work study related positions have been updated to reflect non-Work Study job titles! Especially for any active students with positions that have not been updated yet Use Position Report to identify positions with Work Study codes still attached. Update these before hiring into these positions. UCOP deleting the work study job codes, please update empty positions ASAP 4

Quick Announcements III BW PFCB no longer requires an EEC ticket for workaround Before utilizing the TRS codes ensure that the PFCB has been entered in Extended Leave in UCPath The TRS codes are only for BW employees This message was sent to the UCI TRS DTA community. You can now report time for Paid Family Care and Bonding (PFCB) directly in TRS. The PFCB hours are reported directly on the timesheet and follow the standard time reporting processes in TRS. Please refer to the attached job aid for instructions. With this update to TRS, the workaround for the reporting PFCB time is cancelled. 5

Quick Announcements IV UCPath Notice: Updating Direct Reports UCPath has determined that recent system performance issues are likely linked to certain HR transactions that update direct report information. These transactions include new hires, position changes, terminations and PayPath updates. To address these performance issues, effective, September 2, UCPath will transition the update of direct reports information to occur during the nightly batch process, rather than immediate online updates. Impact: Managers will see the direct report information updated the next calendar day after an HR transaction is completed. 6

Quick Announcements V Expected Job End Date Maintenance Monitoring all jobs with upcoming Expected job ends is important In addition to concerns around the Auto Term and jobs being ended when they should not Jobs without the AutoTerm flag also need to be updated to avoid issues with Accruals, Benefits and Primary Job determination Need to be updated before the end date is passed System will generate an error when a data change in any of that person s jobs is made and will not allow a new primary job to be assigned 7

Quick Announcements VI Primary Job Derivation Process Update deployed this weekend New Job Aid being created by UCPC this week You may notice some changes to primary job designation for those with multiple jobs Primary job impacts information employee sees and potential impact to pay group. Highlights: Overrides: Submit a Job Data Update form to start or stop. If a position with a primary job override is terminated, the override remains in place. Avoid making a WOS the primary job as may prevent any pay Process runs nightly and is based on effective date. Evaluates all job data changes for active employees with more than 1 appointment More information next week as we review the Job Aid 8

Contingent Workers Contingent workers (CWR) are not employees and therefore some things to keep in mind Cannot use Concurrent Hire template to hire into a UCI job if the individual is currently a CWR- due to the CWR is not a UCI job When hiring someone who is or was a CWR do not consider the CWR when determining the reason code to use, such as re-hire or full hire. 13

Different kinds of Concurrent Jobs Dual employment: an employee has multiple jobs at the same location and the FTE exceeds 1 o Transactions for dual employment scenarios must include an approved Dual Employment form with the template transaction. o The form ensures the appropriate local approvals have been received and confirms FLSA and exempt status Non-dual employment: an employee has multiple jobs at the same location and the total FTE does not exceed 1 o The Dual Employment form is not required Multi-location Appointments: an employee has multiple appointments at different locations o Transactions that will create or modify a Multi-location Appointment must include an approved MLA form with the template transaction. o The form ensures both locations are aware of the appointments confirms FLSA and exempt status 19
