Three Categories of Overdue FECs > Overdue No Salary Transfer > Overdue Salary Transfer > Pending Recertification May or may not involve pre-Workday transfers
Overdue No Salary Transfer > Link to SharePoint site with downloadable PDF FECs: https://uwnetid.sharepoint.com/:f:/s/og_maa/EtzPNT4 AiANKtQc1PpDfpTEB3V0axHq0A2a9aUGXzeb6xg?e=g ADUat > Folders are organized by Legacy OrgCode Folders titled with shorter OrgCode prefixes have sub-folders to organize by unit level > Folder for individual faculty with three different files, only the PDF file is required to download > Most of the FECs are for the periods ending 6/30/2023, but some are for prior periods all require certification
Standard Process > Open the PDF file in one of the faculty sub-folders for your department > Review the information on the report (FEC content and metadata) email efecs@uw.edu if any changes are needed > Download the PDF file after you have reviewed it > Add any necessary comments to explain specific circumstances and facilitate for the faculty to certify (via digital signature, or print/sign/rescan) Comments about the system freeze causing significantly delayed certification are not needed, we have documented this centrally > After it is signed, email a copy of the certified report to efecs@uw.edu for central retention > Demo
Overdue Salary Transfers > Salary transfers impacting periods prior to 7/1/2023, must be completed through the manual journal entry process developed for this situation: Link to Job Aid > We ve mapped a little over 1/3 of the FECs in which we ve been notified of pre-Workday transfers to their associated journal entry(s) If Faculty last name or EID was not included on the submitted journal entry memo field, please share the JE # from Workday with us at efecs@uw.edu we will be reaching out to request journal numbers we may be missing over the coming weeks
Continued: Overdue Salary Transfers > We are working through manually adjusting the FECs that had transfers impact them once completed, we will be adding those FECs to the same directory shared in slide 3: https://uwnetid.sharepoint.com/:f:/s/og_maa/EtzPNT4AiANKtQc1 PpDfpTEB3V0axHq0A2a9aUGXzeb6xg?e=gADUat > We will email you individually with a link to the SharePoint once we update an FEC for one of your faculty, requesting that you follow the process outlined in slide 4 to get the report certified
Pending Recertification > There are several FECs that were in the recertification process at the time of the eFECS system freeze > We will be reaching out about these individually but are prioritizing uncertified FECs. > Please let us know about any pre-Workday transfers that were completed that impacted a previously certified FEC, if you haven t already
