  2. Quick Announcements I Review All Employees with 6/30 End Date Review the Employee Roster report - ensure end dates are correct. (including CWR employees) Please notify employee if they are approaching their job end date. For employees terminating they will need to have their personal email addresses entered to access former EE portal. Special focus on your benefit eligible employees. 2

  3. Transaction Deadlines Upcoming Deadlines: One-Time Payments, Retro Payments, Extended Absences, Templates Trx, etc.: Monthly PayPath Cutoff: 6/23 5pm *BW1 Transaction Cutoff: 6/24 3pm 3

Quick Announcements II Employees in Overlapping Permanently Budgeted Positions When updating the Budget Distribution page for permanently budgeted employees that are in overlapping positions, contact the Budget Office for guidance. o Sang Le (slta@uci.edu) Staff Positions o Romaine Fravien (rfravien@uci.edu) Academic Senate Faculty Positions Note: Overlapping positions in this case is related to an employee who is hired to replace an employee who will soon be leaving, however both employees are still in the position. 4

  5. Quick Announcement III June 23 last day to update funding to effect 2021 fiscal year No funding transactions June 24-June 30(noon) Direct Retros fully approved by July 6 at noon to be in 2020/2021 fiscal year 5

  6. System Issue Resolution There was a temporary issue that transactors may have experienced when trying to enter account and fund values in the New Data rows in Funding Entry Update or Direct Retro (SCT) including the MCOP Worksheet. If transactors experienced that they could not get the system to accept the values entered, the transaction was not submitted and hence not gone for approval. The transaction can now be entered, saved and submitted. This does not affect transactions that were already submitted prior to this outage and the transactions are in Pending Approval status. Direct Retro (SCT) transactions that were in Approved in the period will get finalized. Please re-try the transactions from today onwards that were not being accepted due to the brief outage. If you are still facing these specific issues, please open a high priority ticket in EEC and assign to UCPath Finance & Accounting Inquiry/Nasser Khan 6

  7. UCPath Upgrade Project UCI working with UCOP and UCPC to upgrade PeopleSoft, (the software that runs UCPath) to the most current version. No upgrades during the implementation of UCPath; 20 versions behind. Minimal impacts are expected to occur to bring UC up to date. UCI has dedicated UCPath team resources reviewing changes, participate in testing System Integration Testing(SIT) July and August User Acceptance Testing(UAT) October/November Deployment of the new code in mid-December. Working closely with Central UCPath Project team to understand changes and determine additional training and communication Will need some transactors to participate in UAT. This upgrade project first in what will likely be an annual upgrade activity Future upgrades may provide some enhancements to functionality and potential changes to the user interface. 7

  8. Student Work Study Title Systemwide group (including UCI rep) decided to eliminate Work Study job titles on all UC campuses. (Pool ID can be used on existing job codes.) Report distributed last week to CPOs of those that don t have a June 30 or prior end date Need to have job codes updated within next month. Any work study job titles with end date after 6/30/21 need to be adjusted. This Summer update the vacant positions with the correct job code see Cognos HR Title report, when Fall hiring begins positions can be used without further changes to the job code. 8

  9. Early Entry Transactions It is advised to wait until you are closer to the actual date of the transaction to submit a UCPath entry. Transactions submitted to insert new job data between a recent date and future date can cause data discrepancies in UCPath. Please note, transactions occur in the system chronologically. The data entered in future dated transactions may override data/corrections made with an effective date prior to it. Example: ED: 7/1/21 (entered last week of May) TIT to 1.0 on current job ED: 6/1/21 Reclass, new title and permanent .75 ED: 5/1/21 TRT to .80 9

  10. Grad Students & CWR Appointments Parking has confirmed, graduate students hired under the CWR021 Research Fellow title will be eligible for staff parking. Parking is still working on automating this process, so for this upcoming Summer quarter, they will need a list of CWR021 students. This will be supplied to parking based on those hired in UCPath 10
