  10. Ideal Scenario 1 1. We collect funding information from mentors for PhD student stipends on a twice-yearly cycle (once for the academic year and once for the summer). When a mentor indicates a funding source outside of Sargent we ask for a contact from the funding department (sometimes the mentor does not have a clear contact so we search on the website to find someone from the department who might be a good contact). We reach out to the funding department contact via email with a breakdown of information for the hire and request that they set up the hire in the system: Name UID Departmental Rehire Job Number Dates Number of Hours per week Accounting Weekly Salary 2. 3.

  11. Alternate Scenario 1 1. We collect funding information from mentors for PhD student stipends on a twice-yearly cycle (once for the academic year and once for the summer). 2. When a mentor indicates a funding source outside of Sargent we ask for a contact from the funding department (sometimes the mentor does not have a clear contact so we search on the website to find someone from the department who might be a good contact). 3. Some departments have indicated that they prefer that we set the students up in the system. For those departments, we ve obtained access to their unit-dept code by contacting the Student Employment Office and hire the students like we would a Sargent student on Sargent funding.

  12. Ideal Scenario 2 1. Someone from the program the student is in reaches out with the information for the student s hire (most importantly the weekly rate). 2. We confirm the funding source with the mentor (or ask the mentor for the funding source if not provided) and check that the funding source is accurate and appropriate. 3. We set the student up in the student employment system and confirm the hire to the requestor.

  13. Alternative Scenario 2 1. During the twice-yearly funding information collection cycle the mentor indicates that they re supporting a non-Sargent student on Sargent funding. We check that the funding source is accurate and appropriate. 2. We request a contact from the student s program (sometimes the mentor does not have a clear contact so we search on the website to find someone from the department who might be a good contact). 3. We confirm the student s rate and the program s preferred payment structure (some programs take the 12-month rate and divide by 52 weeks while other programs, including Sargent, take the semester rate and divide by 17 weeks for AY semesters and 18 weeks for the summer semester). 4. We set up the student in the student employment system.
