  1. Getting ready for Your Exchange Accepted your nomination through Minerva? Received your admission package from the host university? Researched the course availability via the host University s website? If you answered YES to the above questions, then you are ready to proceed with the course equivalencies to finalize your exchange.

  2. McGills Course Equivalency Database This database can assist you with your course selection for your exchange, however, it will not guarantee their availability for the term(s) you are going on exchange in. Not only can you verify previous approved courses, you may also submit a new request should the course you are interested in is not on the database. Link: https://nimbus-ssl.mcgill.ca/exsa/search/searchEquivalency

  3. The main page allows you to search by McGill course number or by the Host course number REMEMBER when searching: Always include expired decisions No space required when searching by course # Pay attention to the decisions

  4. The System Enter Host University, to view all approved courses from there Always select expired decisions, whether you search by course # or institution No space required when searching up with a course number

  5. Courses not on the System or Needs Reassessment If after searching the system, you are unsuccessful in finding a course that was pre-approved or a course has expired, then your next step would be to submit a request for: o New course equivalency o Or reassessment Approved Not Approved Expired Decision; submit reassessment

  6. Submitting a New Equivalency Request You must ALWAYS log into the system to be able to submit a new course equivalency request. Use your McGill log in and McGill password: john.smith@mail.mcgill.ca

  7. How to Submit New Request Once logged in, select HOME and then select Submit a New Request to proceed.

  8. Entering a New Request Host Information Add Host University SEOUL NATIONAL UNIVERSITY *Course number FINA42231 or IntroductiontoFinance Course Title INTRODUCTION to FINANCE **Upload PDF version of outline IMPORTANT! *MUST add a course number, if there is none assigned, enter the COURSE TITLE instead (no space) **Course outline MUST include the following info: Evaluation Method Weekly Topics Books and Materials

Entering a New Request McGill Course *Add McGill course subject SEOUL NATIONAL UNIVERSITY FINA42231 MGCR INTRODUCTION to FINANCE **Course number 341 IMPORTANT! *Recognized McGill subjects only, if uncertain of subject, select No Matching Subject and under course number, you will find generic choices, such as LANG, RELG, GMST, etc. **If uncertain of course number, select No Matching Course Number and submit.

  10. Course Reassessment For courses that expired a reassessment request is required. All you will need to do is select the Expired Course and select reassessment and provide is an updated course outline and then submit.

  11. Submission Entered - Confirmation All submissions will be confirmed through your McGill email account: Your information would be here Request # Important to keep to follow up with your submissions Adviser assigned will be notified and will proceed with the review and approval

  12. Decision of Request - Approved/Refused All request decisions will be sent to your McGill email account: Adviser who entered final decision will appear here Decision made and updated on the equivalency database THIS IS NOT THE FINAL STEP

  13. FINAL Steps for Approval Once you have received the email decision for your course equivalency request this is not the final decision. YOU MUST add these approved courses on the TRANSFER CREDIT ASSESSMENT FORM via Minerva. This will allow the adviser to officially approved them and allow them to review the courses you are planning on taking to ensure you meet the credit requirements on exchange. o Some universities do not meet the minimum of 39 contact hours to transfer 3 credits, therefore, this form is a way to make the student aware of this The Transfer credit assessment form allows the adviser to enter important notes such as credit requirements.

  14. Transfer Credit Assessment Form Search and add approved course subject and number (no space) **Must complete necessary information outlined with * and then save. Any important notes would be found here **Once saved, you must notify the BCom office, so that we can proceed with final approval.

  15. Transfer Credit Assessment Form Adviser s Part The Exchange Adviser will complete this section. Credits will only be added once the official host university s transcript has been processed Approvals can be Departmental or Faculty, depending if the course is management or non- mgmt.

  16. Transfer Credit Assessment Form Adviser s Part - COMPLETED Specific comments by course Approver Special Notes for students MUST READ THEM Final Approval

  17. Be Prepared for the Unexpected IMPORTANT NOTE: Even though you have gone through the complete process of approval, always note that courses approved are never 100% guarantee once there. As any University, there are always some obstacles: o Course is reserved for their students o Course section is full o Course got cancelled RECOMMENDATION: o Always have a little more courses approved o BE FLEXIBLE
