In the September 14, 2021, meeting, the HMIS Advisory Committee, led by Chair Whitney Wiggins and Vice Chair Wyatt Haro, discussed the purpose, mission, structure, and voting members of the committee. They also nominated committee members for 2022 and addressed key issues related to HUD HMIS Data Standards. The meeting agenda included community spotlight sessions, Q&A sessions, and an exit poll to plan for the future of HMIS.

HMIS Advisory Committee Structure Officers Committee Chair: Reports to CFCH Board Presides over HMIS Advisory Committee Meetings Committee Vice Chair: Presides over HMIS Committee Meetings in the Chair s absence Onboards and manages committee members and structure May act as Parliamentarian Committee Secretary/Recorder: Sends tentative meeting agendas to committee members Drafts meeting minutes Accepts and disseminates committee documents in final form May act as Parliamentarian

  6. HMIS Advisory Committee Structure Voting Members Voting members are nominated (either by someone or themselves) and accepted by vote of the officers. Committee will comprise five (5) external stakeholders from various groups HMIS end-users Agency Liaisons Program Managers Case Managers HMIS beneficiaries Clients Community Members HMIS funders Committee will have one (1) HMIS employee selected by HMIS Operations Director Current employee of HSN and assigned to HMIS department

Case Manager with HOPE Helps since 2018 Coordinates and oversees the HENS program Provides outreach to elderly persons, disabled, or suffering from medical issues and are home-bound Assists clients with Medicaid applications, Financial Assistance, Vouchers, and access to food pantry Empowers and encourages clients to achieve self-sufficiency through development of individual case and aftercare plans Connects families with resources in the community to help improve their quality of life Eager to learn and has developed a strong knowledge of HMIS

HUD HMIS Data Standards - FY 2022 HUD s new 2022 HMIS Data Standards will go into effect on 10/1/2021 No back entry required - update record information as needed Summary of Major Changes: Demographics (All projects) Gender Race Ethnicity Disability Status PSH Projects New Element - Well-Being (collected at Entry, Annual Assessment, and Exit) New Element - Moving On Assistance SSVF Projects New Additions - Financial Assistance options Element Revisions - HP Targeting Criteria Screener Coordinated Entry (Systems Coordination Team) New referral options for Coordinated Entry Event element, including referrals to EHV

Demographics Gender (3.06) is now multi-selectable - up to 5 gender identity categories may be selected for any individual This field is self report - all options must be offered to the individual Gender Identity Categories will be relabeled Female Male A gender that is not singularly Female or Male Transgender Questioning What is Questioning? Questioning articulates the client may be at a point of exploration around their identity, including multiple expressions, which permits the client to self-report how they truly associate. It is NOT the same as Client Doesn t Know .

Demographics Race (3.04) is now multi-selectable - up to 5 race categories may be selected for any individual This field is self-report - all options must be offered to the individual Race Categories will be relabeled American Indian, Alaska Native, or Indigenous Asian or Asian American Black, African-American, or African Native Hawaiian or Pacific Islander White

  12. Demographics Ethnicity (3.05) will be relabeled Hispanic/Latin(a)(o)(x) Non-Hispanic/Latin(a)(o)(x) What is Latinx? Latinx is a gender neutral or non-binary alternative to Latino/Latina Disability Categories (4.09 and 4.10) will be relabeled Mental Health Problem will be relabeled to Mental Health Disorder Substance Abuse Problem will be relabeled to Substance Use Disorder

PSH Elements Well-being (C1) is a new data element for PSH projects This element is made up of 5 questions inside of a sub-assessment Information Date Client perceives their life has value and worth Client perceives they have support from others who will listen to problems Client perceives they have a tendency to bounce back after hard times Client's frequency of feeling nervous, tense, worried, frustrated, or afraid This element is collected at Project Start, Annual Assessment, and Project Exit This element is based on client self-report Moving On Assistance Provided (C2) is a new data element for PSH Projects If a referral, case management service, or financial service is provided as part of the Moving On initiative, collect information about the type of support and the date provided Date of Moving On Assistance Moving On Assistance (Subsidized housing, Financial assistance, Non-financial assistance, Housing referral/placement, Other)

  14. SSVF Elements Financial Assistance (V3) "General housing stability assistance - emergency supplies" AND "General housing stability assistance - other merged into "General housing stability assistance." Food Assistance added HP Targeting Criteria (V7) Fully revised from FY2020 version, including question Is Homelessness Prevention Targeting Screener Required This is to increase the flexibility of the screening tool for use with non-SSVF HP projects SSVF-HP projects are required to complete the screener and must select Yes for this element This data element is collected under the Head of Household only Some questions are repeated from the standard CoC elements - consistency between fields is measured as a part of SSVF Data Quality

CE Elements Coordinated Entry Event (4.20) 3 new referral events added: this is for increased flexibility in data collection This information is collected by CE Record-keeping staff when completing eligibility documentation Referral to emergency assistance/flex fund/furniture assistance Referral to Emergency Housing Voucher (EHV) Referral to a Housing Stability Voucher

  16. HMIS Data Quality Monitoring What to expect?   21. New Training Workflow Overview of the steps Agency Liaisons 1. Go to the website and find the code that you need 2. Click on the Training request form link 3. Fill out the Trainee s information and input the correct code 4. Click register New Trainee 1. Find Email from HSN University (there should be two for new users) 2. Read the instructions and watched the attached video 3. Follow the link in the email and complete HSN University Profile 4. Open all assigned courses and complete and requirements for training sign up 5. Sign up for each assign training

HMIS Training & Support Upcoming CoC-Wide Refresher Sessions (July/August) *Invites will be extended to all applicable partners* HMIS 102: RRH (for CMs) - - Scheduled per agency Required for all RRH CMs - will address key areas that are contributing to poor data quality and measurement outcomes Routine monthly sessions: 1st & 3rd Tuesday: HMIS 101 New User Training 1st & 3rd Wednesday: HMIS 101/102 Refreshers 1st & 3rd Thursday: HMIS 101/102/103 Reports Training * Additional training sessions may be requested as needed. Join us for our office hours M/W from 1p - 2p for additional one-on-one HMIS support. Reminder: All new user training requests must come through the Agency Liaison.
