Official HUD Reports Longitudinal Systems Analysis (LSA): LSA, LSA, Q & A Stella PIT/HIC Reporting Ready to Submit ESG-CV CAPER 3rd Round of Reporting is completed. Next Qtr reporting period: 4/1/2021 - 6/30/2021 Monthly Required & DQ Reporting is ongoing Resources to Review ESG-CV Requirements: *Only the HMIS Lead is responsible for uploading ESG-CV CAPER Reports.
LSA - Stella Longitudinal Systems Analysis (LSA) data submitted on Jan 15th, 2021 The dataset contains anonymized data about people experiencing homelessness over a 3- year lookback period, which is then aggregated in Stella Data points include: demographics length of time in programs and length of time to move-in dates exit destinations subpopulations such as veterans and household types returns to homelessness system pathways, or the way households move through the system to housing The LSA replaces the AHAR as the overall system-level homeless report presented to Congress, the information is used to inform funding and policy decisions You can view the 19-20 data from Stella here!

PIT & HIC PIT & HIC data for 2021 ready to submit: due date May 14th, 2021 Recommendation to submit data to managing board A few important changes: No official unsheltered count was conducted - an informal count will take place later this May New projects: non-congregate shelters, SSVF EHA, ESG-CV RRH New HMIS Participation: HUD-VASH and Zebra Coalition What do we use this information for? The PIT count is a gauge of how many people experience homelessness on a single night The HIC is a count of the bed capacity on the same night The Utilization Rate is PIT / HIC To compare apples to apples, we will look at this year s sheltered count compared to last year s sheltered count
PIT & HIC Despite COVID-19 Pandemic, persons remained sheltered at similar levels
PIT TOTALS -Sheltered Only Total Persons: 1544 (-4) Total Households: 1088 (-29) Total Chronically Homeless: 177 (-98)
PIT SUBPOPULATIONS Veterans: 177 (+36)* Unaccompanied Youth: 65 (-9) Parenting Youth: 19 (-3) Adults with Serious Mental Illness: 130 (+88)* Adults with Substance Use Disorders: 136 (-48) Adults Living with HIV/AIDS: 71 (-75)* Survivors of Domestic Violence: 180 (-49)*
PIT & HIC Non-congregate shelters and ESG-CV RRH make up majority of capacity growth
PIT & HIC Overall utilization is at 84% (note RRH is always 100% due to collection methodology)
PIT & HIC: RECOMMENDATION TO SUBMIT Motion to send our current PIT and HIC reports to CFCH Managing Board for Final Approval
HMIS Training & Support Upcoming CoC-Wide Refresher Sessions (May/June) *Invites will be extended to all applicable partners* HMIS 102: RRH (for CMs) - - Scheduled per agency Required for all RRH CMs - will address key areas that are contributing to poor data quality and measurement outcomes Routine monthly sessions: 1st & 3rd Tuesday: HMIS 101 New User Training 1st & 3rd Wednesday: HMIS 101/102 Refreshers 1st & 3rd Thursday: HMIS 101/102/103 Reports Training * Additional training sessions may be requested as needed. Join us for our office hours M/W from 1p - 2p for additional one-on-one HMIS support. Reminder: All new user training requests must come through the Agency Liaison.

Data Quality in the CoC-APR Attention to the following areas can help us to immensely improve our data quality across street outreach projects in our system. CoC APR Table 6b Relationship to Head of Household - helps us associate for HUD the types of households experiencing homelessness in our federal reports Client Location - the FL-507 selection in each entry ensures that enrollment is associated with our CoC in federal reporting Disabling Condition - a key data point that when paired with the housing questions in Table 6d allows the system to flag someone that is chronically homeless. Remember there are three parts to this workflow in HMIS. Yes/No...the sub-assessment...and the additional question within the sub-assessment on severity per disability selected. CoC APR Table 6d Chronic Homelessness - these fields, paired with disability, identify who is chronically homeless in our system. CoC APR Table 6f Contacts (for Adults and HoH in SO or ES) - identifies participants enrolled for 90+ days WITHOUT any contacts documented in HMIS. We currently have 286 inactive records identified across SO projects.
Other Data Collection Requirements The following recommendations can help us to immensely improve our data quality across street outreach projects in our system. 1. Current Living Situation a. Sub-assessment found in the project entry/exit and in interim reviews. b. Should be recorded for every single contact made in Street Outreach 2. Interim Reviews a. Completed under the entry/exit tab b. Should be completed whenever participant provides an update on income, disability, insurance, non-cash benefits, DV status and housing status. 3. Coordinated Entry Collaboration a. Housing is the end goal. When individual decides to engage back resulting in deliberate assessments - they should be connected to CES. Contact Allison Nye to ensure you have the right tools in place for this connection to occur (allison.nye@hsncfl.org) 4. Project Exit Workflow a. Use the CoC APR to determine which participants have not had a contact recorded in HMIS in over 90 days. Exit those clients based on date of last contact.
