Why we chose to build the Interlake Community of Practice
Our Deliverables Design and Implementation of Community of Practice in the Interlake Development of training modules identified by the ICP table Design and implementation of community engagement strategy for ICP with a focus on meaningful work and community connections Board development Development and Implementation of shared data collection
Design and Implementation of Community of Practice in the Interlake GUIDING PRINCIPLE: In a world where you can be anything, be kind Kindness: The quality of being friendly, generous and considerate Friendly: build relationships, be open, be genuine Generous: give what you can, help where you are able, share what you know Considerate: understand differences, be flexible, make space
Development of training modules identified by the ICP table Identified what training exists and where to access it Created a sheet of known training and shared with everyone Identified what training is required for staff and at what intervals training should happen Developed a schedule of required training Looked at optional training and when to provide it Developed training modules Trauma informed Care Vicarious Trauma/Self care
Design and implementation of community engagement strategy for ICP with a focus on meaningful work and community connections Community Engagement strategy completed for 2 agencies Multiple components of engagement including Staff People Served/supported Board Community at large Lessons learned are being shared with ICP table
Board Development 2 Boards have completed Elevate Board Training 3 Boards have attended shared training day Intro to Service Purchase Agreement session developed and delivered 3 boards have developed and are using Board work plan 2 Boards have completed self-assessments implemented strategies to address areas needing improvement 2 Boards have reviewed and updated Bylaws 2 Boards have reviewed and updated Policy and Procedures Developed in a template so can be customized Board orientation manual has been developed Developed in a template so can be customized
Development and Implementation of shared data collection Developed a Pilot survey to capture FTE staffing Took several tries to find a way to capture data consistently 4 agencies completed the survey Provides a baseline of FTE s and vacancies Shared areas impacted by staffing shortages
Above and Beyond the Deliverables Shared resources: Communication tools for wage announcements Accessibility legislation compliance Sharing templates and action plans Capacity Building: Shared resources such as OT and nursing services Shared Support plan templates and provided training to new management team Agency Relationships Connected agency management teams with each other Share resources, call for guidance Have a safe space to ask questions or work through an issue Agency resources Drafted agency policy manual Drafted agency procedure manual Both done in template format for easy adaption to specific agency Business Continuity Planning Worked to create a template that will work in our sector Shared Training resources Staff provided training at alternate agencies Supported train the trainer model to build individual agency capacity Training modules adapted and shared for other agencies Shared training opportunities for management teams
What we learned Relationships are Key Executive Directors are isolated and having a table to share with reduces stress and isolation Having a space to ask the question without judgement Learning from others mistakes helps us all improve Have to be willing to be vulnerable and open to improvement for the table to work Board Development is Important Bringing Boards together provided an amazing opportunity for growth and development Many Board members do not have a clear understanding of their responsibilities and or liability Educating the Board creates work but increases accountability Creating Space and Time Coming together weekly allowed us to create the space and time to get work completed that often gets shuffled to bottom of the pile Coming together helped us prioritize items as a group There has to be give and take at the table - a willingness to put in time and effort and share resources
What we learned Service Providers and Government Relations Reviewing issues as a group helped us find middle ground or a better understanding of the why Sometimes we have to agree to disagree We can all learn from each other Barriers/Risks Time commitment for Executive Directors can be a challenge Mitigated by: Hiring 3rdparty consultant to lead and do some of the work Larger agencies shared staff resources to get work done Next Steps Applied for and received a grant to allow the work to continue for another year Continue to grow the ICP table Share resources and information on what worked with people interested
