Quick Announcements I Upcoming Deadlines BW2 Transaction deadline: Jan. 20 3pm (for templates, extended absences, etc.) o BW PayPath deadline: Tuesday 1/11 5pm blackout through Friday 1/14 6am MO Transaction deadline: Wednesday Jan. 19 at 3pm (for templates, extended absences leaves, etc.) o MO PayPath deadline: Mon. 1/24 (5pm) - blackout until Thursday 1/27 6am 2

  3. Quick Announcements II Remember to check payroll to ensure employees are being paid correctly. There remain some defects in PayPath that occasionally result in incorrect pay. With the new year, be careful with which year your transaction is for are you doing something for last year 2021 or this year 2022. Reminder the Off-cycle dashboard is greatly improved and provides updates on off-cycle pay requests. Note it can be found on the quicklinks in UCPath, input Employee ID or Transaction ID to find status. Off-cycle Dashboard demo + discussion on Tues. 1/25 call 3

Updates to Unit 18 Range Adjustment The new multi-year contract between the University of California and the University of Council American Federation of Teachers (UC-AFT) will have the Unit 18 Non-Senate Faculty salaries adjusted by an across-the-board increase of 7 percent effective February 1, 2022. The increase will be applied centrally. The increase will appear on the March 1, 2022 paycheck. The 7% increase will be applied to the annual rate (rounded to the nearest dollar) which will derive the monthly rate. The new salary scales are available in the AP website. There will be a UCPath freeze for this population beginning, Saturday, January 29, 2022 through Friday, February 4, 2022. Please do not make any edits to this population during this freeze period. 7

  9. FLSA Mismatch A number of employees have been impacted as a result of incorrect or mismatching FLSA status on their positions. In order for UCPath to calculate pay, assign pay group, pay frequency, and generate other payroll data correctly, FLSA status has to match. Employees cannot hold multiple jobs with different FLSA Status on the position. (All have to be the same) There are guidelines to help you determine the correct FLSA Status for employees with multiple jobs. If hiring into an existing position, please revise all data prior to hire entry. Vacated Positions may have incorrect FLSA. FLSA Status may have been changed or updated based on need to accommodate employee with multiple jobs. Do not change FLSA status on existing positions. Create new position if needed. 9

  10. What to do with Student FLSA Mismatch? Use the matrix below to identify the correct FLSA status student employee should have, when they have or will have 2 (two) or more jobs concurrently: 10

  11. Use Case 1: FLSA Mismatch Active Job If your department owns the job which needs to have the FLSA Status and/or Pay Frequency changed follow instructions below. 1. If FLSA mismatch is already an Active Job in UCPath: Proceed to submit following PayPath Actions: 1. On Position Data tab - Enter Effective Date (should match hire date of 2nd job) 2. Position Data Tab: Change FLSA Status 3. Job Data Tab: Update Pay Frequency, if necessary 3 1 2 11

  12. Use Case 2: FLSA Mismatch during Hire 2. If FLSA mismatch caused by new/secondary job being added (during Hire): For example: If you have MO Exempt job, and pay group needs to be overridden to match a Non-Exempt FLSA status, follow steps below: 1. Submit Hire Template & note Transaction ID 2. Fill out and complete Job Data Update Form and request a Pay Group override. 3. Open a UCPC ticket (Ask UCPath) to Workforce Administration > Submit Form Workforce Administration 4. Attach JDU form, in the comments be sure to explain employee has an FLSA mismatch and you are requesting a pay group override. Please include Template Transaction ID#. If you are unsure of the process or what needs to be changed, please stop by the Drop-In Support Center or submit an EEC ticket. 12
