Requesting Changes for Email Addresses and Company Name Changes
Change Request Types Types requiring City Supplier Management Team updates: Email Address changes Company Name changes Types allowing Vendor to self-administer changes in Ariba and Beacon Supplemental/Other Information (examples)
Email Address Change Process requires submitting a change request via email to: houstonpurchasing@houstontx.gov Provide your request on signed and dated company letterhead stating: Reason for the change requested Old email address will change from XXX / to new email address XXX Current Supplier ID # (if one has been issued), Company Name, and Provide an updated, signed, and dated W-9 with Tax ID.
Company Name Change -General Process requires submitting a change request via email to: houstonpurchasing@houstontx.gov Company Name Change -vendor must submit a change request to include: A signed letter on company letterhead stating company name has changed from XXX to XXX and reference the existing Supplier Id #, if applicable. An updated, signed and dated W-9 with new company and Tax ID. A copy of Certification from the State stating Company A has changed to Company B
Company Name Change -Merger Process requires submitting a change request via email to: houstonpurchasing@houstontx.gov Company Merged -Name Change the vendor must submit a change request to include: A signed letter on company letterhead stating Company A has merged with Company B and the new name is Company C. Reference the existing Supplier ID #, if applicable. An updated, signed, and dated W-9 with a new company name and Tax ID. A copy of the Merger Agreement stating Company A has merged with Company B and the new name is Company C. If the EIN or SS # changes, vendor will need to submit a NEW supplier registration request.
Company Name Change -Acquisition Process requires submitting a change request via email to: houstonpurchasing@houstontx.gov Company has been Acquired/Bought Out by another Company - vendor must submit a change request to include: A signed letter on company letterhead stating Company A bought out Company B and the new name is Company C. Reference the existing Supplier Id #, if applicable. An updated, signed and dated W-9 with new company name and Tax ID. A copy of the Acquisition Assignment stating Company A bought out Company B and the new name is Company C If the EIN or SS # changes, vendor will need to submit a NEW supplier registration.
EIN Change If company s EIN number changes due to a merger or acquisition, the vendor is required to register as a new supplier. All Other Profile Changes Supplier can personally update their own company profile in both Beacon and Ariba. 1. 2. 3. 4. 5. 6. 7. Contact person s name Company Address Telephone Number Commodity Codes (DO NOT select ALL codes) Company website Upload new documents Etc.
All Other Profile Changes For all other changes, vendors can personally update their own company profile in Beacon and Ariba by using their login email/ password SPD web site: https://www.houstontx.gov/bizwithhou Scroll down and click: Ariba:click on Ariba Supplier Login to update the Supplier record. Beacon: click on Beacon Supplier LogInto update Beacon Registration.
