State PTA Reflections Chairs Duties State PTA Reflections Chairs Duties State Reflections Chairs are responsible for the overall implementation of the National PTA Reflections program. Tasks necessary for starting a new program year in your state include but are not limited to: Registering and setting goals Customizing templatized materials Recruiting volunteers Coordinating training and support for PTAs Promoting Reflections and Theme Search Contest participation Celebrating young artists in your community
Registering for Reflections Registering for Reflections Register your State PTA in the Reflections program and then encourage all levels of PTA units in your state to register To gain access to the registration reports you can: Visit PTA.org/StateReflectionsLibrary for anonymize reports Email Reflections@pta.org for detailed, state-specific reports Enroll as Chair to join our State Reflections Network so you can have access to our: State Reflections Library which includes all the information and templatized resources for you to share with your state Reflections leaders Monthly e-newsletters with important updates, tips, and reminders Access to meetings and other networking opportunities Access to the Student Entry Portal
Customizing Program and Materials Customizing Program and Materials State Reflections Chairs should customize the program materials available on PTA.org/StateReflectionsLibrary Add the following details to PTA Leader materials: How to connect with council, district, region and state leaders for assistance State program timeline How to advance entries to the next round of judging Number of entries per division and category that are eligible to advance Add the following details to Student materials: Local submission packaging instructions Statewide rules for student eligibility Statewide entry submission requirements (within the limits of the national rules)
Reflections in a Virtual World Reflections in a Virtual World Local PTA Leader Survey (185 respondents) 94% of respondents plan to run their Reflections programs this year 87% of those respondents expect COVID-19 to impact their program in some way 24% expect to collect entries digitally and to conduct the review digitally Promotion Collecting and reviewing entries Celebrating
Promoting Reflections Promoting Reflections Use social media platforms to access your community Use the promotional materials available on the state and national websites Use communication platforms to access all families Work with PTA and school administration to access available networks and platforms Consider email, text and phone campaigns Insert an informational slide about Reflections during PTA meetings Send home flyers or e-newsletters with beginning of the year resources At socially-distanced and virtual school/PTA events, ensure a Reflections presence
Collecting and Reviewing Entries Collecting and Reviewing Entries Collecting Reviewing Offer socially-distanced, touch free collection locations Provide a home address, mailbox or room drop off during school hours Collect entries via email Collect entries via digital storage space Provide a hybrid approach Provide physical and digital drop off locations Ensure materials are anonymous Consider having students submit an additional anonymized file Create a review sheet Include Title, Artist Statement, and link to stored piece Host a socially-distanced or virtual judging event
