Finishing the last mile: how to populate RefsDBfrom Indico/CAT Process for populating Reference Search Tool requires some manual work, and responsibilities are not clearly defines A working group is discussing strategies for defining, improving, automating the process IPAC 25 is investing in improvements to Conference Assembly Tools 4 M. JACoWSearch Engine The old version of the CERN proceedings search engine does not find papers in proceedings generated from Indico The new version of the search engine requires info to be delivered to it in an entirely new way We need to develop a procedure for delivering information from JACoW proceedings to make it compatible with the new search engine Will also require some ongoing maintenance reasonable expectation date for switch to new search engine is within the first few months of 2025 5 M. Transition away from SPMS-based Central Repository Bi-weekly check-ins are ongoing with Indico team to implement functionality from SPMS which is not currently available in Indico Investigating with EPS-AG to fund service for JACoW mailing lists Support/solution for multiple affiliations has been developed and will soon be implemented 6 M. Onboarding of new conference Stefano has set up a web form which conference organizers can use to announce a new event, request an Indico event, and provide needed details Form will populate fields in the proceedings db and also fill some data on the Wiki (reducing manual work of updating) Will also include an email utility for communication with specific subsets of stakeholders 7 M. JACoWbudget specs for IPAC LOC chairs IPAC LOC chairs have communicated to us that they need much more detailed info about JACoW-related expenses, much earlier than they ve been getting it (ie ~6 years before the event, when they submit a proposal), in order to effectively plan their budgets Related: we will ask IPAC organizers to formalize the expectation that IPACs will host the Annual Team Meetings 8 M. Wiki content management Sumner Brown Gibbs (ORNL) has joined us as wiki content manager Will form a working group with two experienced JACoW members Will have autonomy to make changes to the wiki as needed 9 M. McAteer, JACoW TM'24, Deauville, France
Updating the Word and Latex templates and class file Planned changes: Remove some unnecessary details about formatting Use bib file by default Hyperlinks for DOIs (not in different color) Use abbreviated forms for refs Make Word template JACoW size Use ISO4 format for abbreviations Eliminate distinction between US and GB English If possible, stop supporting Open Document template Template update working group: Jan, Volker, Zhichu, Ivan, Sumner; new version expected ~mid-march 10 M. Proposal to switch from Slack to Mattermost We use a free version of Slack, in which content disappears after 90 days Mattermost (provided by Helmholtz Association, hosted by HZDR), which is very similar to Slack, free, and accessible to collaborators of Helmholtz affiliates, will be tried as a replacement 11 M. Wishlist of development ideas Some requests and ideas which might be considered, once the transition to Indico is complete and the collaboration has more capacity for other developments: Set up some procedure for checking papers with plagiarism-spotting services, and adopt a policy to avoid publishing papers which recycle too much content from previous publications Get some statistics to quantify the impact of JACoW publications by counting frequency of JACoW references in accelerator physics PhD theses Ensure that JACoW references are integrated well into commonly-used services like Zotero Revisit the idea of setting up virtual machines for training of editors 12 M.
