Email is a method of communicating by sending messages through an email server. Emails are sent from a sender's outbox and received in a recipient s inbox.
SOME FEATURES Attach Send Send a copy to someone else Set Priority Signature
The sender and recipient(s) do not have to be online at the same time. This is a benefit when sending messages and documents to people in different time zones across the world. With email you can set up distribution lists to quickly send to multiple people at the same time.
BENEFITS OF EMAIL You can send files as attachments It is faster than post You can forward messages you have received to other people You can record contact in an address book so you can access them quickly Webmail providers (including Hotmail and Gmail) tend to store emails on a remote provider, meaning that you can access them from anywhere via web browser
DRAWBACKS OF EMAIL Viruses can be spread through emails Phishing emails may be received (asking for private information) Employees in a business may spend time on personal email at work Emails may be intercepted and read by hackers Spam (JUNK MAIL) can be irritating, waste time and take up space in an inbox.
PHISHING EMAILS Phishing is the attempt to acquire sensitive information such as usernames, passwords, and credit card details (and sometimes, indirectly, money), often for malicious reasons, by pretending to be a trustworthy entity in an electronic communication (e.g., email).
Model Question 1 Identify three parts of an email which may indicate that it is a phishing email. (3 marks)
Model Answer 1 Strange email address Misspelt word Requests for pin number
Model Question 2 Explain one advantage and one disadvantage for using email in a business. (4 marks) HINT: The question says explain, so you need to give one advantage, one disadvantage, and write a sentence for each, explaining your reasons.
Model Answer 2 Emails can be delivered to multiple recipients at the same time, for example they could email all of their customers at the same time with a new deal. A disadvantage could be security because all emails are at risk from viruses that can be spread through email.
