  2. The Measure 110 team will be sending out emails from the oha.measure110@dhsoha.state.or.us inbox each month for your consideration How would the OAC like to respond to these emails? 2

  3. OAC Email Policy Options Questions to consider: How would you like to receive these emails? How would you like to have them organized? Do you want to designate a responder or response team? What timeline would you like for responses? Would you like to create a FAQ with your responses to be available on your website? If action oriented, how do you want to collectively decide how to proceed? 3

OAC Email Policy Options Currently OHA can send out emails once a month to the OAC Consolidated emails in one document Delay in receipt Delay in response OAC has state emails and computers available for use Protects OAC members from search of personal email/computer Allows access to OHA.Measure110 emails at will If you are unable to access your state email or computer, please contact us with information on your specific barriers to access and we will help you find the resources you need 4

OAC Email Policy Options Suggested Policy: OAC designates a responder or responder team When an email to the OAC is received, OHA staff will send a scripted response notifying sender that the council will consider and respond OHA staff shares email with OAC responder team OAC responder team drafts responses aligned with OAC values and shares with OHA staff OHA staff shares original email and draft response with all OAC members for approval/comments via email with deadline for feedback of 3 days 5

OAC Email Policy Options DOJ reviews draft for legal sufficiency Once approved, OHA staff may send out replies For serial communications, designate one responder for continuity For action items, designate OAC meeting time for discussion and decisions OHA staff post select OAC responses in a FAQ document on the OAC website 6
