  4. Data Integrity PEIMS Coordinators, attendance clerks, data entry clerks and SIR s play an essential role in HISD s efforts to ensure that all data is timely, accurate and properly documented. In no case should paraprofessional personnel be responsible for determining students coding information for attendance, program placement or special services. 4

  5. Campus Roles and Responsibilities Schools are responsible for: Submitting current, complete, and accurate data. Correcting all errors found during the Fall PEIMS submission on or before the due dates set by Federal and State Compliance. Campus Non-Instructional Data Team Every campus must have an identified Non-Instructional Data Team. This team should meet at least once a month to review campus data and be responsible for supporting the 6-week reconciliation report. CampusPEIMS Coordinator (Assistant Principal, Dean, or Instructional Coordinator) Campus Master Scheduler/Student Scheduler Professional Registrar (Secondary only) Student Information Representative (SIR) Attendance Clerk (All) Lead Discipline Data Entry (All) Campus Behavior Coordinator 5

  6. Campus Roles and Responsibilities Campus PEIMS Coordinator: 1. Attend scheduled trainings and meetings related to PEIMS program areas. Consult with the Federal State and Compliance Analyst to schedule appropriate training for campus personnel. 2. Collaborate with the principal to designate campus contacts for each data type that impacts, funding, compliance, and accreditation as well as contacts who are responsible for special program content knowledge. 3. Identify, document and supply data reporting timelines and procedures to all personnel affected by them. 4. Keep principal informed as to the accountability and accuracy of all PEIMS data. 5. Oversee the reasonableness and accuracy of data by implementing procedures at the campus to ensure the data that affects funding, compliance, or accreditation is complete and correct by identifying areas of concern and determining corrective action. 6. Work cooperatively with other campus personnel to collect, organize, and format data required for submitting campus PEIMS information in a timely manner. 6

  7. School Start Window The 2020-21 School-Start Window for returning students is extended and remains open through Friday, October 30, 2020. The extension of the window is effective statewide to accommodate local education agencies that have opened late because of the COVID-19 pandemic. The school-start window extends from the first day of school through October 30, 2020 the last Friday in October. Students served in the prior year must return to school by the end of the School-Start Window to not be considered leavers. Campus staff must continue to research student leavers until the deadline given by FSC.   8. Fall PEIMS Snapshot The PEIMS Fall snapshot (as-of) date is the last Friday in October (Oct. 30). Snapshot data includes students and staff that are active of October 30.   11. Coming Soon Crisis Code Mini Submission Our second Crisis Code mini submission will capture students that were enrolled in Houston ISD as of 10/30/2020. Campuses will receive information soon regarding this collection. Campuses will be expected to: 1.Review their lists to ensure that all eligible students were captured and to notify their FSC Sr. SIR of any discrepancies. 2.Sign an Acknowledgment Form to verify that the student list is correct (Campus PEIMS Coordinator and SIR). 3.Return the signed Acknowledgment Form to their assigned Federal and State Compliance Sr. SIR by a date TBD. This submission will be due to TEA on Nov. 6, 2020 11

  12. Weekly Data Monitoring and Validation Process State Reporting Team will send the validation errors to the Sr. Compliance Analyst. This process will occur on Mondays and Thursdays. The Sr. Compliance Analyst will distribute to the FSC Sr. SIRs, Departments and PEIMS Coordinators. Sr. Compliance Analyst and Sr. SIRs will work with campuses and departments to ensure that errors are being addressed and cleaned up each week. The FSC Sr. SIRs will distribute to the campus SIRs. 12

Weekly Data Monitoring and Validation Process Campuses should check the following reports weekly during each six-week cycle: PEIMS Error Check Students Not Enrolled Courses/Periods Student Program Indicator Report ADA Enrollment Count Report Certify Scorecards Potential Drop-out Report Student PEIMS Graduate Verification Report Student PEIMS Leaver Verification Report Class ID/Unique Section Code Verification Report Enrollment/Withdrawal Verification Report 13

  14. Six Weeks Data Verification (Campus) Campus Summary Reports must be generated each 6-week reporting period and reviewed by the Principal or designee for reasonableness. The Campus PEIMS Coordinator/ Principal or Designee should do the following: Scrutinize regular attendance totals and special program attendance totals based on approximate membership, Investigate all data totals that have exceptionally high value or a value of zero, and Compare current-year totals to prior year totals to detect unreasonable differences. Any ongoing FATALS must be cleared by the end of each 6 weeks period. Campuses must verify data by running the Campus Program Indicator Report and comparing it to the District Progress Report generated by On Data Suite. FSC will provide the District Progress Report to the PEIMS Coordinators. 14
