  1. VACATION PERIOD REMINDERS December 2019 Coaches Education Session

  2. TOPICS ELIGIBILITY CARA OUTSIDE COMPETITION TRAVEL ENTERTAINMENT MEALS

  3. ELIGIBILITY ELIGIBILITY BETWEEN TERMS: Must have been registered for a minimum full-time course load (3 units) at the conclusion of the fall 2019 term, if continuing enrollment; or Be accepted for enrollment as a regular full-time student for the spring 2020 term if the student is continuing or beginning enrollment. If entering final term, may be enrolled less than full-time if completing all graduation requirements, as certified by an official authority.

  4. ELIGIBILITY CHANGE IN ELIGIBILITY STATUS: If eligibility changes at the end of a term, SA will become ELIGIBLE on the date eligibility is officially certified by the institution. EARLIEST DATE: Last date of final exams, MUST have enough grades officially posted to determine continuing eligibility status. ANY CHANGES IN ELIGIBILITY WILL BE COMMUNICATED BY COMPLIANCE OFFICE AND UPDATED IN ARMS. If eligibility changes at the end of a term, SA will become INELIGIBLE on the date eligibility is officially certified by the institution which can be no later than the first day of class for the spring term.

  5. ELIGIBILITY MID-YEAR ENROLLEES (TRANSFERS): Basketball: Cannot be eligible for competition until the ensuing academic year even if meeting an exception to the residency requirement. All Other Sports: If meeting an exception to the residency requirement or receiving a waiver, the student-athlete CANNOT be eligible TWO-YEAR TRANSFER: to compete during the segment that concludes with the NCAA championship, if having previously competed at the prior institution in the same segment. FOUR-YEAR TRANSFER: to compete in competition in which his/her performance could be used for NCAA championship qualification or consideration, if having previously competed in the same type of competition at the prior institution.

  6. CARA Regulations OUT-OF-SEASON IN-SEASON All CARA is PROHIBITED one week PRIOR TO the start of exam period (Monday, 12/9/19) All CARA is PROHIBITED during official vacation period May resume at the start of spring classes or official spring segment report date, whichever is earlier CARA remains PERMISSIBLE Daily & weekly limits continue to apply during exam week Daily & weekly limits do not apply during weeks in which no class or exams occur (start Sunday, 12/22/19); One day off per week IS NOT required for non-autonomy, but encouraged. o Remain permissible at any time if a qualifying VOLUNTARY activity o May use institutional facilities and work with S&C coaches VOLUNTARY ACTIVITIES

  7. OUTSIDE COMPETITION TEAM SPORTS INDIVIDUAL SPORTS In sports outside their playing season, student-athletes may compete on a non-collegiate, amateur team in outside competition during the vacation period. Individual sports may engage in outside competition at any time provided they are competing as an unattached individual. Student-athlete must receive PRE-APPROVAL from Athletics Compliance Office by completing Participation in Outside Competition workflow (ARMS). REQUIREMENTS

  8. ENTERTAINMENT EXPENSES OUT-OF-SEASON: May NOT be provided. Can only occur during the playing season, outside the playing season when classes are in session, or during the time student-athletes may be required to participate in required summer activities. IN-SEASON: Reasonable team entertainment is PERMITTED. Should be pre-approved through Supervisor and Athletics Compliance Office May NOT provide cash to student-athletes in lieu of entertainment expense.

  9. MEALS & SNACKS IN-SEASON MEALS/SNACKS OCCASIONAL MEALS May be provided at ANY TIME in or out of season, vacation period or when classes are in session. Must complete form with Athletics Compliance Office. Is NOT considered CARA so long as no other sport-specific activities occurs (e.g. film, chalk talk). If required to remain ON-CAMPUS (in area) for practice and/or competition: May receive up to three meals per day OR cash per diem for each required day. CANNOT duplicate expenses (i.e. per diem and three meals). May NOT provide on days where there is no required practice or competition (aside from required one day off per week). May NOT duplicate vacation meal expense with competition travel meal expenses.

  10. LODGING EXPENSES If required to remain on-campus (in area) for official practice or competition: Scholarship and non-scholarship student-athletes may be provided lodging expenses only during the period in which official team CARA activities are required; May provide expense during vacation period if student-athlete lives in non-Colgate owned housing; If choosing to live at home during the break, expenses MAY NOT be provided; Provision of all expenses is subject to approval by the Compliance Office, Business Office and your Sport Supervisor.

  11. TRAVEL EXPENSES Generally, cannot provide transportation expenses to return home and/or back to campus during a vacation period. Flexibility in providing transportation to/from home if tied to required practice or competition activities occurring during the winter vacation period. Examples: MAY be provided transportation expenses (full or partial) if returning home instead of campus immediately after an away competition; and/or MAY be provided transportation expenses (full or partial) to return to campus during a vacation period that occurs during the academic year (i.e. Winter Break) if reporting for official squad practice and/or competition. Provision of all expenses are subject to approval from the Compliance Office, Business Office and your Sport Supervisor.

  12. GENERAL COMPLIANCE REMINDERS STUDENT-ATHLETE OPPORTUNITY FUND: Limited in funds prioritize emergency needs & individuals with high financial need, as well as requests relating to SA welfare, health/medical, and academically-related. Fund IS NOT a means to circumvent athletic scholarship regulations and/or operating budget deficiencies. SAs with need previously identified as eligible for a $150 allowance. Form available online. DRUG TESTING MEETINGS: Initial information provided to Wellness Advocates - - discussed ways for SAs to funnel anonymous questions through their Wellness reps. Brief team meetings to be scheduled PRIOR TO holiday break (EMAIL TO FOLLOW).

  13. GENERAL COMPLIANCE ANNOUNCEMENTS NATIONAL LETTER OF INTENT: Rolling period may continue to offer at any time. RECRUITING BAN in place for all valid signees. Compliance can verify status. ADMISSIONS UPDATE: Focus on streamlining and standardizing all aspects of admissions process, as well as providing avenues for earlier commitments to prospects. Intended rollout early January 2020. (Will apply to incoming Fall 2021 class) Meetings will be scheduled to discuss process in detail Compliance & Admission Liaisons TEAMWORKS UPDATE: Minimum expectations of all programs for the remainder of this current year (EMAIL TO FOLLOW).. Want to assess functionality, potential benefits, value to student-athletes. Encourage training for staff and student-athletes ASAP if not already in progress.
