
Preserving Digital Design Files: Challenges and Solutions
Taskforce CAD/BIM is focused on addressing challenges related to the preservation of digital design files. Founded in 2012, the task force has conducted surveys, interviews, and developed FAQs to enhance knowledge and communication in this area. 2017-2018 Approach: FAQ There are myriad challenges to properly preserve digital content but the task force wanted to narrow down the most important or institutionally pressing ideas that were directly related to digital design files. The goal was to have a universal point of reference to broaden the baseline knowledge level for all and similarly communicate that institutions are not dealing with these challenges alone. The FAQs were divided into three crucial categories: technology, access, and description.
Technology Current questions: Standards Workflows: Digital Preservation Practice Software Dependencies
Description Questions of description are the next category the taskforce will confront. Top concerns will likely involve identifying standards, vocabularies, and ontologies to be used for describing digital design files.

Deeper Dive: Deed of Gift Challenges: Architecture and design records collecting focus attempts to address complex collection lifecycles. Born digital design records pose even greater challenges. Multifaceted issue with subject and technological expertise as well as collection complications. How to address these challenges: 1. Research the legal and collecting challenges through a deed of gift analysis. 2. More active approach with acquisition process would minimize challenges.
Deeper Dive: Deed of Gift Deeds of gift as acquisitions tools were a critical point of inquiry during taskforce s discussions. This led to an extensive exploration of how they have been used, or not, in the field. Solicited example deeds of gift on SAA listservs and targeted emails to individuals/institutions Received 9 deeds from various size institutions Reviewed deeds on SAA s deeds of gift section on Appraisal and Acquisition/Accession website page
Taskforces findings 1. Digital files especially born digital design files are typically not addressed in deeds. 2. If addressed, language regarding born digital files minimally dealt with personal identification information. (This is insufficient for design files). 3. At most deeds included a separate survey that dealt with many important aspects related to born digital content (But still not everything!). 1. These surveys should be required addendum to complete a deed of gift.
Recommendations and further research 1. Continue to acquire more deeds of gifts to analyze 2. Address minimum fundamental requirements of a deed 3. Seek engagement from SAA leadership around establishing best practice language 4. Create best practice language for software dependent files, digital preservation and access
