Your Club History Structure Rules Each Avenue of Service Financial Awards
Annual General Meeting Held in December Elections For Board Effective at Changeover June Next Year President Elect & President Nominee Usually will be president from next July (Elect), or July the following year (Nominee) Secretary and Treasurer 5 Board Members Portfolios usually allocated by the President.
The Board Its role is to manage the Club Members President Secretary Treasurer Projects Director Membership Director Foundation Director PR Director Immediate Past President Some Club bylaws may allow for others such as the Avenues of Service Chairs

Manual of Procedure (MOP) Updated every 3 years by the council on legislation (The Rotary Parliament) Constitution same world wide Cannot contradict constitution Allows for Club by laws
Meetings Can be Cancelled Death of a member Local disaster In Australia, Clubs do not generally meet over the Christmas Holidays (2-3 meetings) Not on Public Holidays Should attend 50% of Meetings Held weekly
Membership Must be adult persons of good character and good business and professional reputation. Recognised as a leader in their profession Ambassador of their profession to Rotary Ambassador of Rotary to their profession New Members
Membership 2 Types Active - Honorary - Pay Subs, Vote No subs, no vote
Inviting a New Member Member invites prospective member to attend normal meeting Club covers the cost of the first meal Club conducts a Classification Survey to determine what vacancies exist. Appointment made with prospective member to explain Rotary Invited to subsequent meetings Move to proposing
Proposing a New Member Fireside Chat Has Rotary explained to them in more depth Responsibilities and Obligations Ask permission to circulate their name Secretary advises all members in writing Name, address, and classification of proposed member Person invited to attend normal meetings Sponsor submits name to membership committee New member inducted Board Votes on Submission
Attendance Missing 4 consecutive meetings can be a reason for cancellation of membership Apply for leave of absence for extended periods Should attend 50% of meetings
Attendance Visit another Club within 2 weeks of your club s scheduled meeting Attending a service program, Club or District committee meeting Participate in an online Rotary meeting Make ups
Classification Either the principal activity of the firm Or the members professional activity. Classification Maximum of 5 members in any one classification Diversity of Classifications sought
Other No Club comment on controversial issues No endorsement or recommendations of people standing for public office Rotary is not a political or religious organisation
Territories There aren t any It is recommended that a member live or work in the vicinity of where the club meets.
Presidents Responsibilities In conjunction with the Board appoint chairman for each committee Attend Training Sessions and Presidents Meetings Chair the weekly meeting Be a leader Ensure the club has a balanced service program In conjunction with the board, write the club plan Chair board meetings

Financial Service/Charity Account Administration Account All cost associated with running the club Project Account All funds raised from outside the club and expended on charity or project work. Clubs generally have 2 accounts
Getting Things Done The That is where the drive is and the work done e.g. Membership, Fundraising, Foundations, Social These are in addition to the Avenues of Service Committee System is critical The Board is the Management The board s decision is final
Insurance and Risk Management 4 Policies All have excesses, maximums, and exclusions Any question needs specialist advise (District Person) Every Club Activity MUST have a Risk Assessment conducted and documented. A far more detailed summary is available
National Insurance Programme Who is Covered? Nominated Rotary Districts and Clubs Members of Rotary including spouses, volunteer workers, honorary members and host families The Boards Club and District Committees and Sub-Committees and other Rotary Bodies
