Running a PTA, the Non-Profit Organization, its not your mamas PTA! OBJECTIVES Gain a greater understanding of how to run a successful PTA Get a deeper commitment to the organization s primary mission Learn how to nurture a talented PTA board through training and leadership development Be fortified with best practices, tips, and tools to assist in the successful operation of a non-profit organization 1. 2. 3. 4.
Advocacy, Not Cupcakes! PTA has come a long way from raising money to paint the school house, raising money for the cheerleader s new uniforms, or providing refreshments for school events. PTA s major advocacy efforts: * The federal school lunch program *Raise the Age * Regulations on E-Cigarettes In each of our school communities there is a cause of varying degrees that our local and region organizations should be helping our members find effective ways to advocate for/against Advocacy Resources 1. Unit Advocacy Chairperson 2. Region Advocacy Chairperson 3. NYS PTA Resolutions Specialist (Patrice Rachlin) 4. NYS PTA Legislation Coordinator (Lucille Vitale) *There are a variety of position papers and resolutions for your review and cooperating partners NYS PTA works with to enhance and solidify our advocacy efforts
STAY ON TASK, ANSWER DEADLINES FAST! Oopsie, I forgot! What Happens Now? The task Deadline Bylaws Dates vary, but updated every 3 years NGS, out of compliance Form A June 15, update ANNUALLY NGS, president will not receive mailings Insurance Payments due June 1 NGS, you may not hold any events, not covered Membership Early Bird September 30th Final deadline May 31 NGS NOT IN GOOD STANDING (NGS) Tip: Place all deadlines on a digital calendar (i.e. Google calendar) where each board member receives notifications. Also place on your PTA website!
BEST PRACTICES FOR RUNNING YOUR NON-PROFIT ORGANIZATION Meetings: Meeting Protocol Form Use Evites, My Punch Bowl Bring meetings to your membership Conference calls Recording Secretary must take notes Members who wish speak must state name and ask for permission Presiding officer must recognize the member who wishes to speak www.freeconferencecall.com Communications: When reaching out to your region, council, or NYS PTA always use your unit code Contact your region first for assistance, if needed contact the NYS for additional support Respond to emails and voicemails within 1-2 days, depending on urgency

Effective Leaders Give their skills away and provide climates in which members have a voice Understand group dynamics Need a rich knowledge of their responsibilities and understand their own limitations
Functions of an Effective Leader Build task commitment and optimism Build mutual trust and cooperation Organize and coordinate activities Encourage and facilitate collective learning Seek appropriate support when needed Develop and empower people
Effective Communication is key to good Leadership How to promote good communication: Always keep everyone up to date and informed about events, changes, new information, etc. Encourage sharing of ideas and thoughts Listen! Listening can be one of the most important components to effective communication skills
Team Building A team has a commitment to one another, to the team, to a high level of achievement, and to a common goal As a leader you must encourage team building Everyone is clear in their own roles, reinforcing the goals of the team, and making sure all team members are working well together can all help create an effective team
Conflict Management Part of leadership is managing conflict when it arises It is important to be level headed, diplomatic, and serve as a voice of reason in situations of conflict As a leader, you serve as a role model and should always act in a fair, just way Compromises can help greatly in conflict management Problem Solving Being flexible and open to new plans is key when leading a group things always come up and it is best to be prepared for something to go wrong
Good Leaders vs. Effective Leaders Doing the Right Things vs. Simply Getting Things Done Good Leaders Develop Followers vs. build leaders Good leaders leave the organization making a name for themselves vs. leaving a legacy of great leadership and the org. better off than when they found it
