SPONSORED VS AUTHORIZED ACTIVITIES: CONTEXT When a faculty member conducts educational activities outside the normal classroom schedule, they fall into two categories based on whether the activity is mandatory (authorized) or optional (sponsored). This designation dictates whether a student must be excused from other courses due to the activity or if the excused absence is at the discretion of the other instructor whose course is missed.

DEFINITIONS Definition of Authorized Activities (must include one or more of the following) Instructor-required activity outside of the classroom that is mandatory for students and required to fulfill the educational objectives of a course Special campus programs authorized by an appropriate administrator sponsoring the activity Student participation is required on specific dates to represent the university or by virtue of scholarship responsibilities (varsity athletics, music/dance performances, etc.) Definition of Sponsored Activities (must include one or more of the following) Important to the overall development and education of a student, but is not a requirement for a course Participation in activities or competitions based on voluntary participation in a student organization Any other activity not specifically mentioned in the undergraduate or graduate attendance policy

  4. SPONSORED VS. AUTHORIZED ACTIVITIES - Many institutions have established clear guidelines distinguishing between Sponsored Activities" and Authorized Activities." - These classifications provide clarity for both students and faculty and ensure that educational objectives are met while recognizing the value of experiences outside the traditional classroom setting. - We are piloting a new procedure in spring 2025.

  5. WHY THE NEW PILOT? These requests have been traditionally routed through The Student Advocacy Center but . The number of requests have increased significantly in past years. The school/college where the course originates may be better informed to decide if sponsored or authorized.

  6. PILOT PROCEDURE Faculty who are organizing an outside-the-classroom activity should complete and submit the form prior to the first day of class. The College/School receives the form and determines whether the activity is sponsored or authorized. An email will be generated that can be shared with students on Blackboard. Authorized activities are mandatory course components, contributing to academic goals and allow for excused absences with make-up opportunities. Sponsored activities enhance learning but are not mandatory course requirements. Instructors may, at their discretion, excuse absences for these activities.
