St. Polycarp Pastoral Council Our Mission The mission of the St. Polycarp Church Pastoral Council is to advise our Pastor in those matters affecting and fulfilling the Parish Mission while providing vision and strategic planning to the committees and the parish community. We work to improve the community spirit and faith life of our Parish by being sensitive to and responding to the needs and desires of all in a spirit of prayer, commitment and action. Energized by the Holy Spirit and in communion with the Holy Father and the Universal Catholic Church, we hope to promote a sense of welcoming, belonging and harmony among our parishioners by connecting and including them in the pastoral life of the Parish.
St. Polycarp Pastoral Council Our Purpose To discern, with the Pastor, a set of goals for the Parish. To evaluate existing programs and policies. To form community within itself as a sign and witness of unity for the larger parish community. To promote communication and understanding among parish organizations and parishioners, the dioceses, and the Universal Church. To advise and counsel the Pastor on pastoral matters which he brings to Council. To review the annual budget and to make recommendations for approval.
Pastoral Council The Pastoral Council meets the 2nd Wednesday of every Month at 7pm in the Library The Executive Committee meets the 1st Wednesday Re-formed December 16th, 2015 By-Laws were adopted in July of 2016 Standing Committees Liaison for the Financial Council Building and Maintenance Christian Formation Liturgy Parish and Family Life Social Concerns Facilities Planning - Ad Hoc Fundraising - Ad Hoc Safety and Situational Awareness - Ad Hoc Membership Elected members serve a 3-year term 1/3 are elected each year (elections held in May) Executive Committee - 1 year term Appointed Members serve at the Pastor s discretion
St. Polycarp Pastoral Council Our Accomplishments Council meetings were held monthly with optional virtual attendance via Zoom Planned and completed the memorial for Deacon Charlie Robinson Supported Building and Maintenance with Mold Remediation and Fire Prevention System repairs Held elections in the Spring where we welcomed 5 new members; Mike Kinnel, John Ruane, Cheyenne Costello, Joyce Tolson, Deanna Lail Hosted a Retirement Celebration for Father Mast (9-26-21) Hosted our Annual Parish Picnic (9-19-21) Organized and Facilitated the Annual Forum (October 17, 2021)
St. Polycarp Pastoral Council Our Accomplishments Hosted a Christmas Dinner/Gathering for the Joint Councils (Pastoral and Finance) Supported the establishment of a dedicated parking spot for the Pastor Provided Prayer Cards for parishioners to acknowledge all volunteers (February 2022) Planned and Hosted the Parish Ministry Fair (May 14-15, 2022) Responded to Dream List from the results of the 2021 Annual Forum Planned and implemented the Giving, Growing and Glorifying Landscaping Project Organized the Dedication of the Giving, Growing and Glorifying Landscaping Project
Building & Maintenance Committee Chairperson Mike Pyle Liaison - Mike Kinnel
Building & Maintenance Committee The BMC developed a system to track, plan and resolve maintenance issues around our Parish campus. Since the start of BMC in November 2016, we have received over 392 maintenance reports with a 99% resolution rate saving our parish the expense of contracting for the repairs. These issues ranged from damaged ceiling tiles and burnt-out lamps to clogged toilets and sinks and damaged pews and kneelers.
Building & Maintenance Committee Accomplishments Organized the Annual Fall and Spring Parish Grounds Cleanup Instrumental in the removing and installing the kitchen commercial refrigerator The rear parking lot lights were inoperative Discovered there was a break in the wires that run from the church to the first parking lot light pole We had to run a new set of wires approximately 300 feet Replaced all incandescent lamps in the Mother Drexel Hall with LED lamps The metal stair railing for the basement stairs was loose and required tightening We found it held up with a couple of bolts Installed bolts and anchors to securely mount the metal railing to the concrete wall

Christian Formation Committee Parish Formation Two new Smart Televisions & two new carts Available for use by anyone in the Parish Community Located in classroom #3 or in the library FORMED subscription Launched during the weekend of July 9 & 10 Parishioners able to access talks and videos about our Catholic Faith Talks/videos are given by some of the best Catholic speakers, theologians, and teachers in the country who look forward to sharing the information with others Available to Parish staff, teachers, groups, committees and parishioners to share our Catholic faith with others in our parish, our homes, and our communities
Christian Formation Committee Parish School of Religion (PSR) Annual Ornament Fundraiser -- Success! Fund-raiser for the World s Finest Chocolate Sold 57 cases; 10 cases donated to frontline workers (Smyrna/Clayton) Successful year with classes Mix of in-person and online classes Children s Liturgy of the Word Held March 13 thru May (resume September) The Confirmation Retreat; held March 12 Theme = Be a Light 11 Confirmandi received the Sacrament of Confirmation; April 23 at Holy Cross The May Crowning May 1 and ended with a well-attended Agape (5 PSR students participated) First Eucharist was celebrated, for 5 communicants (4pm Mass, May 7)
Christian Formation Committee Parish School of Religion (PSR) The Catholic Youth & Young Adult Ministry Recognition Dinner Award held May 18 St. Polycarp Award Winners: Lily Griffiths St. Timothy Award Nyssa Marshal St. Timothy Award Theresa DiMeo Volunteer of the Year Award Tracie Bruno St. John Bosco Award in Girl Scouts Confirmation Prep began in the summer for 15 students/parents for new school year Looking forward to our Second All Saints Parade & Trunk or Treat in October Last year we had 13 different ministries/councils gave out goodies to over 45 students who were dressed as Saints
Christian Formation Committee Rite of Christian Initiation of Adults (RCIA) One Candidate entered into full communion with the Church at the Easter Vigil The team members working with Deacon Frank this year are Theresa DiMeo, Wendy Burris, and Neda Biggs The Inquirers sessions (the first phase of RCIA) began August 1 So far, all the possible RCIA participants, 2-3, would be Candidates for Confirmation (not Catechumens) since they are all baptized Deacon Frank will use FORMED material to teach and generate class discussions

Liturgy Committee Our Purpose The purpose of the Parish Liturgy Committee is to promote quality worship in the parish under the guidance of the pastor (Diocese of Wilmington- Guidelines for Parish Liturgy Committees). Since liturgy is essential for the expression and celebration of our faith, we need to embrace, nurture and educate the assembly where it is needed. This formation will bring the parish to a fuller understanding of the mysteries of God and to the growth of a more active participation of the people.
Liturgy Committee Our Accomplishments We continued to follow the Diocesan Guidelines during the COVID Pandemic and afterwards Our first Morning of Reflection with St. Dennis was a success The Liturgical Ministry Dress Code was updated The Flower Book has been returned to the vestibule of the church for parishioners to donate flowers for the altar. Multiple Mass Intentions are permitted for a single Mass (no more than three intentions) Eucharistic Adoration, Flame of Love and Divine Mercy have resumed first in the church and now has resumed in the Chapel Breaking Bread has an eMissal QR code for our parishioners to use Our Paradigm shift has enabled us to switch certain Feast Day Masses from St. Polycarp to St. Dennis and vice versa Paradigm Shift we have talked about Inculturation in our parish Our 1st Christmas in July seems to have been a success

Social Concerns Committee Our Purpose To promote and enable members of the parish to respond to the social problems within the Community. To give special care to the poor, the lonely, aged, the oppressed and minority groups. The committee can reach out to many through the generosity of the parish community in many ministries including Bereavement, Nursing Home Ministry, Respect Life, St. Vincent de Paul, Extraordinary Ministers of Holy Communion to the sick and homebound.
Social Concerns Committee Bereavement Counseling Seasons of Hope is a Scripture based group for the bereaved Bereavement Funeral To assist the family in the planning for a funeral Christmas at Sea Essential items are collected and are given to the Seafarers of container vessels and tanker ships Christmas Giving Tree Christmas gifts are collected and given to children in need from our PSR program Extraordinary Ministers to the Sick To bring Holy Communion to the sick, homebound and nursing homes. For I was sick, and you visited me. Food Pantry The pantry is a Smyrna/Clayton Ministerium Ministry, located at Asbury UMC
Social Concerns Committee Nursing Home Ministry To offer Mass, Communion and Bible Study Ministry at the Delaware Home for the Chronically Ill - restricted because of Covid. Respect (Pro) Life Baby Bottle Campaign in October and Rose sale for Mother's Day. St. Vincent de Paul To fulfill the two great commandments, Love of God, and Love of Neighbor . To provide assistance for utilities, medical supplies, food, heating oil, rent and used furniture. Goal - To get more parishioners involved, materially and spiritually. Safety and Situational Awareness Committee The Safety and Situational Awareness Committee was formed in the Spring of 2019 to research and address Parish concerns regarding the various potential safety issues at St. Polycarp Church. In October 2019, they hosted the Delaware State Police presentation of their Violent Intruder Preparedness & Response Training Program at St. Polycarp s Mother Drexel Hall. St. Polycarp parishioners as well as other community churches were welcome to attend. We are planning to present a Cyber Security Program in the very near future.

Brother Vincent Council 7517 During the Pandemic Brother Vincent Council underwent a turbulent and trying time. It is time to rebuild the Council. The participation of every member, at Council meeting and activities, is encouraged to rejuvenate and strengthen our Council. Business meetings are held in the Library at 7:30 PM on the first Thursday of each month. The meeting is preceded by the Rosary at 7:00 PM. Officer s Planning meetings are held in the Library at 6:00 PM on the third Wednesday of each month. All meetings will be Zoomed.

The Columbiettes are an organization of Catholic women dedicated to our Patronesses, the Blessed Virgin Mary, St. Theresa of the Little Flower and St. Joan of Arc Our Purpose: To promote the spiritual, social and charitable welfare of our members To instill a steadfast conviction relating to the proper place and function of Catholic women in safeguarding the religious, civil and economic right of all Catholics To rely upon the intercession of Mary, our Mother and Model, for guidance in guarding the common good, and to work through her, on loving and aiding all members of the human family and to give assistance to the Knights of Columbus in all their activities upon request

Brother Vincent Columbiettes How we help St. Polycarp Church Funds raised by the Columbiettes were used to support a needy family with Christmas gifts and food Brother Vincent Columbiettes provided the missals and rosaries for our 1st Eucharist students Understanding the financial strains on all families the Columbiettes donated $1,000.00 to PSR to defray tuition costs With the financial situation we also donated $1,000.00 to St Polycarp Church

Digital Ministry The Digital Ministry began meeting in October 2021. Meetings are held on the third Thursday of the month. We have had 59 tech-related issues or requests that have come up in a variety of areas including Live Streaming, Wifi/Internet connections, Website, email and other software. 49 have been resolved 5 are on hold 4 are open 1 is ongoing
Digital Ministry Our Accomplishments Setting up and extending our public Wifi network so that there are connections throughout the PSR Building, Hall and Church available for use by our committees/groups meeting on campus and all parishioners. It is available via Polycarp-Guest on your device and requires you to log in as Guest and agree to the terms outlined on the pop-up screen. Added 2 new smart TV s for parish use Transitioning Faith Direct s old events platform to the new, more user friendly, forms-based platform. The new site is being used for fundraisers, events, and PSR registration. This new ministry is still being formed and we welcome anyone interested in sharing their talents. If anyone is interested, please contact Judy in the parish office.
