The Standardized Acceptance Process (SAP): Introduction for Applicants American College of Preventive Medicine November 19, 2021
Background Prior to SAP - heterogeneity in timetables for interviews and offers across programs SAP allows both programs and candidates to have adequate time to complete the interviews before offers are made. First implemented in January of 2017: 2018-2021 - First Choice Match/ Extended First Choice Match followed by Regular SAP Quasi-matching process platform by which PH/GPM applicants and programs can register for an online platform through which First-choice and recently expanded extended first-choice applicants and programs are linked, and engage in offer/acceptance/contract process for subsequent training year Applicants/programs can see (in near real-time) the status of program vacancies and matched applicants.
What is the SAP? It s a service offered by the American College of Preventive Medicine to aid in pairing prospective preventive medicine residents with available positions at residency programs across the country. The SAP helps to create homogeneity in residency program acceptance timetables, and ensures programs and candidates have adequate time to complete interviews and make and accept offers. ONLY for PH/GPM residency programs. OEM and AM programs do not participate in this process. NOT connected to Electronic Residency Application Service or the National Residency Match Program
Programs participating in the SAP 35 OUT OF 43 programs participating in the SAP Presently includes ALL SAP-eligible programs and slots The remaining that are not participating only have slots that fall into one of the delineated waiver categories , e.g.: military; combined with another specialty in the NRMP; 3-year in the NRMP; only and exclusively accept applications from within their GME-sponsoring institution List of programs participating in the SAP: https://www.acpm.org/SAP/SAP-Database-for-applicants (Updated as programs register) 15 programs have registered as of November 18.

On Monday, Feb 14th Timeline Activity 9:00 AM ET ACPM posts full pairing results to the SAP website (for Programs only; NOT ACCESSIBLE TO APPLICANTS) Initial Notification Meeting: Programs raise questions/concerns, if needed on the results 10:00 AM 1:00 PM ET 2:00 PM ET ACPM posts SAP results to the SAP Website Applicants database will be updated to show program names and available slots. 2:00 PM ET 2:00 PM ET ACPM will send one email to: 1. Programs with unfilled slots A list of Applicants still seeking Programs 2. Applicants without a match A list of programs with available slots Programs make offers to their paired Applicants No Later than 4:00 PM ET Within two hours of the offer Once offer is accepted Applicants expected to accept the offer Notify ACPM staff (sap@acpm.org ) and cc: Applicant
Program/Applicant Pairing Team A designee(s) from ACPM staff AND at least two (2) of the following: A designee(s) from the Education or the Membership Committee who is NOT a program director or Program faculty member, OR A former PM residency program director who is not formally connected to any PH/GPM residency Program, OR A designee(s) from the Committee on Ethics (Team Lead), OR A designee selected by the ACPM Board of Regents or Executive Committee A designee(s) who is a young physician
Clarifications Why is Preventive Medicine not in the NRMP? Why aren t Occupational and Environmental Medicine and Aerospace Medicine not taking part in the process? Can I submit my rank list multiple times? What if I get an offer from an OEM program or another fellowship (that has an earlier offer date than Feb 14) as I am interviewing with an SAP program? What should I do? If I accept the offer from an SAP program, should I withdraw from NRMP and/or another match? What would happen if I decline the offer from an SAP program?
What is Required of Applicants 1. 2. Review and follow the SAP policy (posted on the ACPM website) Review the information on the SAP webpage for Applicants - https://www.acpm.org/SAP/SAP- Applicants Register for the SAP by as soon as possible and no later than Friday, January 21, 2022 11:59 PM ET. Submit rank list (January 24 28th 11:59 PM ET) February 14th onwards Applicants should make sure that they are available to quickly receive and accept offers from their paired Program, if they are paired, or possibly from unfilled Programs, if they are not paired. Applicants should check their email frequently and make themselves available by phone or text. Unpaired Applicants should use their prepared rank lists, in combination with the listing of Programs with open slots, to make decisions quickly and optimally about offers made by unfilled Programs after the initial Program/Applicant Pairing List results have been posted to the SAP website. Programs should be notified of an Applicant s decisions to accept or decline offers as quickly as possible. 3. 4. 5. Anita will navigate website/ registration towards the end of PPT
