ROTARY DUCK RACE YOU HAVE MADE THE SALE - - NOW WHAT?
1. Payment THREE METHODS OF PURCHASE 2. QR Code Scan 3. Card Sale
PAYMENT - CASH OR CHECK SALE Easiest sale Mark cash or check at the top fill in the left side of the form take the money or check We would like all the info on the left but as an absolute minimum name and phone we must be able to contact prize winners.
QR CODE SALE Have purchaser scan the QR code (they are the same on all tickets) Read the QR code sale instruction sheet so you understand the purchaser steps Make sure you see the correct purchase amount on their phone Again fill in the left side of the form contact information, check QR at top, write large QR on right side
CARD SALE DEBIT AND CREDIT All blanks on the right must be filled including signature Complete contact information on the left check credit at the top Only number portion of the address is required PRINT CLEARLY MUST BE ABLE TO READ ALL THE NUMBERS TO PROCESS
MULTIPLE SALES SELLING MORE THAN ONE SHEET On the first stub only fill out as previously shown info, type of sale and other required data For amount enter total for the entire purchase Mark subsequent stubs 2 of x, 3 of x, etc.
THE SALE IS COMPLETE Tear off the sheet at the perforation and give the big portion (the lower part) to the customer This fills our obligation to our sponsors to advertise to the public on the ticket we show everyone who sponsored the race, the prize list and examples of how the proceeds are used. RETAIN THE STUBS ON THE PAD FOR TURN IN If you have people selling YOUR tickets tellers, receptionists, volunteers, etc. make sure they are trained, have read the instructions and understand the process. You are responsible for your tickets.
FINALLY STEP 4 Turning in sold stubs and unsold tickets.
PREPARE THE STUBS For credit card and QR scan sales - fold up the right-hand side of the stub this helps identify those tickets that do not require cash or check in the envelope We must enter credit cards in a bank program, so it helps to quickly find them For a multiple sale fold up as a group
FILL OUT THE TICKET TURN IN ENVELOPE Enter your name and the starting number of the pad Enter the accounting information Please meet the turn in deadlines
PARTIAL PADS If you do not sell all the tickets in the pad Complete a turn-in envelope with name, pad start number and payment information for the sold stubs Leave the pad intact with sold stubs still attached Turn in the complete pad - sold and unsold attached Stick the envelope in the pad
TURN IN Turn in all pads as soon as they are completed Turn in no later than duck tagging day unless you are selling that weekend Turn in All tickets NLT Saturday (except for Saturday night and Sunday sellers) Everything turned in by 1:30 race day
THOUGHTS If you are not selling or have more tickets than you will sell turn in the pad so it can be reissued to an active seller Kitsap Bank Silverdale will have your package of tickets if you don t pick yours up at a club meeting Additional pads are available at Kitsap Bank Silverdale and the Chamber Office Bremerton 705 Pacific Ave Turn in sold pads at a club meeting, Kitsap Bank or the Chamber Office
FINAL CAUTIONS Read the instructions provided Follow the instructions provided Train your sellers they are selling the tickets you are responsible for Be at the locations that you sign up for or get a substitute Turn in tickets on time Kitsap Bank and the Chamber are closed over the weekends if you need tickets call Don 360-981-2591 (call not text he s not very good at checking text messages)
BRING SUPPLIES TO SELLING SITES Tickets, Pens, Branded Attire, Name Tag Change - $5 & $10 bills Small giveaway ducks Water, sunscreen, sunglasses, stool, etc. Cell phone for more tickets or ask a question
