WP 4.1 Service Improvements: Development Of A User Schedule Tool Goal: Development of a data-base driven software solution Unified data model, clear separation of data, processes, and presentation / visualization Quicker turn-around for user and change management Being fully data-driven allows the automatization of repetitive and currently manual tasks More formalized work-flows increase the reproducibility and consistency (ideally also over longer periods of time) Include feedback, reviews and comments into the data model to increase traceability & accountability Until 2022: User requests, schedules, requirements, etc. managed by a set of disconnected scripts, emails, spreadsheets, & ad- hoc solutions Consequences: Growing amount of manual and repetitive work Not scalable & strain on limited resources Missing long term memory, ofte n only aggregated statistics" survive" Difficult to derive key performa nce indicators and data driven optimization strategies from existing data Limited transparency & accountability towards the users!

WP 4.1 Service Improvements: Development Of A User Schedule Tool First use case: Handling of the Beam Request Call 2022 Dec. 7th 2022 to Jan. 4th 2023 96 beam requests for 183 runs (main/parallel, parasitic, no beam) 2022: 97 beam requests => different system, not directly comparable Approx 300 users registered at the system (CERN SSO) Resulting in 184 scheduled runs (no 1:1 correspondence to requested runs: some runs split, some could not be scheduled additional parasitic and parallel runs added since end of beam request call) => Important lessons learned about necessary improvements of data model, user logic and UI / UX elements => First successes in improving workflows and data management
WP 4.1 Service Improvements: Development Of A User Schedule Tool Status: first iteration (v0.8.15) in productive use, development in parallel. => https://ps-sps-users.web.cern.ch Milestone Release: (v1.0) planned for Aug. 2023 Since 2023/05/03: Started to handle EURO-LABS TA Applications for PS & SPS users in WP4
