  1. How to run a UCARE Project

  2. Check if similar UCARE projects are currently running or have been previously conducted: - Click on the Projects tab of the UCARE website UCARE | Centers (ga2len- ucare.com) - Review the listed current, upcoming and past UCARE projects to make sure that your project idea has not been developed before

  3. Click on the How to Run a UCARE Project button in the Projects tab

  4. Download the Application form

  5. Please complete the application form with as much detail as possible Please remember that the duration of the project should be at least 1,5 to 2 years. This is so that other participating centers will have enough time to apply for ethics agreements. Send the completed application form to: info@ga2len- ucare.com

  6. The UCARE OFFICE does a first review of the project proposal and forwards the proposal to the UCARE scientific advisory board The scientific advisory board reviews the proposal and makes a final decision: 1. If the board decides not to move ahead with the project, there will either be an invitation to revise, or the project will be rejected Review of project proposal by UCARE scientific advisory board A final decision is made First review by UCARE Office 2. If the scientific advisory board decides to move ahead with the project, they might make suggestions for improvements, and the board will nominate a responsible UCARE Steering Committee project advisor a USCPA) to your project.

  7. The UCARE Office informs the applicant of the steering committee s final decision and will send relevant project templates to you. The UCARE Office will also inform you of the USCPA (project advisor) who has been assigned to your UCARE project. The USCPA will act as your first point of contact for any questions regarding the project. And will initiate the first steps of the project with you.

  8. Establish a project steering committee: Discuss possible steering committee members with your USCPA. The USCPA may also make suggestions on whom to invite to the committee. The steering committee should: - - - - Have 3-7 members Be geographically diverse Have a strong interest in the project Work as project ambassadors in their region and within their scientific communities.

  9. Finalize your project instruments: - Work with your project steering committee to finalize the instruments that will be used during the project. - Use the UCARE templates for patient surveys, patient information and informed consent forms (available through the UCARE Office)

  10. Develop your database: - Develop a database that will be used to gather and analyze the information obtained within the project. - Examples for such databases can be found in the UCARE Area of the UCARE website, where they are listed for each UCARE project.

  11. Start a Pilot-Study Pilot the developed instruments in a proof-of-concept study at your steering committee s centers.

  12. Time to roll-out your project! UCARE Website: - Send project related documents to the UCARE office so they can be uploaded to the website. - Include translations as they become available. Announcement Note: - Write a project announcement note, including the start- and end-date of the project, co-authorship requirements and a brief description of the project. The announcement will be sent to all UCAREs via the UCARE office. - Make sure that co-authorship criteria are as defined as possible

  13. Throughout the Project: - Promote your project: make sure that there is good uptake of the project within the UCARE network. - Invite participating UCARE centers to send updates on the recruitment of patients to the project and to periodically send datasets for review. - You will be asked to send progress reports to the UCARE Office. The Office will provide you with templates for these updates.

  14. Upon Project Completion Publishing the project: - Communicate the completion of the study to the UCARE network. - Work with your steering committee on the publication strategy and on getting the paper(s) ready to be submitted. - The previously defined authorship criteria should be applied when developing the manuscript(s).
