To satisfy the legal requirements of being a charitable organisation the Friends of Cawston Grange follow the model constitution provided by PTA UK. This document states the requirements for annually reviewed accounts, documented meetings, committee election guidance and much more. The Legal Stuff At every AGM the current committee stand down as required by the constitution and those seeking to be re-elected for posts seek nomination alongside any new members who wish to have an active role in the work of the PTA
2021 - 2022 What an amazing year!
PTA reconvened after a two year hiatus due to Covid in October 2021, with a mix of old hands and new faces making up the committee A comprehensive fundraising and event plan was laid out which included: Christmas books for all the children Cawston Christmas Cookies Santa Dash The Christmas Raffle Guess the Teddy Name Some of the usual termly activities like the Magic Show and the Discos weren't able to go ahead due to Covid restrictions Christmas Term
Typically a slower term for the PTA after a Christmas term rush to give is some space to breathe AGM was held in February (typically its done in September but Covid prevented this) which lead to a new committee Disco's came back with bang with the normal setup of Reception and KS1 in school time and KS2 in early evening Easter Hunt Easter Raffle Spring Term
All hands on deck for the return of the Summer Sizzler with a slightly changed format: PTA did not put on a disco but instead brought in outside catering firms Large crowd pleaser Sponsorship deals for local communities End the year with the Discos, including the Year Six's having their own entrance and photobooth Summer Term

3,500 on helping refurbish the outdoor area at the school 2,400 to reduce school trip prices by 4 per child to ease Cost of Living pressure on parents 1,250 on murals for the Reception Area and the Library 620 on New Starter Bags and Books 560 on Friendship Benches 350 on Forest Corridor and soft furnishings Where has the money been spent?

PTA Committee and Support network Summary of key roles Chair Vice Chair Secretary Treasurer Provide Leadership Work closely with the Head Teacher and committee members. Welcome and involve new members Set agendas, run meetings to time, ensuring everyone can contribute. Write the annual report with the support of the committee. Will be a signatory with one other committee member Oversee the annual plan of events for the PTA Responsible for legal compliance Support the Chair in providing leadership Welcome and involve new members Deputize for the Chair in absence Consider and research additional activities that could be run Arrange Meetings and distribute the agenda. Take the minutes at meetings, write up and distribute. Support the chair with reporting and legislation tasks Support committee members with admin tasks. Prepare the PTA contribution to the newsletter Oversee the PTA drop box account Manage the school website PTA pages and FB page Day to day management of funds Issue bills and make payments on behalf of the PTA Organise floats for events and collect and reconcile monies raised Prepare and update the financial ledgers on a regular basis Complete banking transactions on a regular basis Act as a signatory Prepare the financial report for the AGM. Deal with charity filing and gift aid.
PTA Committee and Support network Summary of key roles Parents and Carers Fundraising Lead Children s PTA support group Committee Members Contribute ideas at meetings and support other roles. Lead / help organise events / projects (manage volunteers, document event process, write updates for the school newsletter etc.) Support events (posters / flyers / programmes, refreshments, source equipment, sell tickets, attend the event, etc. Communicate with parents and community about events and projects Encourage participation and enthusiasm for PTA events. Vote on actions/decisions Seek external opportunities for donations of goods Seek external opportunities for donations via incentives Promote incentives opportunities to parents via the secretary Parents and carers of children at CGPS are automatically members of the PTA. The PTA committee informs them of the events and projects that are due to take place. They may attend PTA meetings, but cannot vote on decisions made. All parents and carers are encouraged to help at fundraising events. Information on help needed is provided via email in the run up to events. Attend meetings, share ideas and vote at the AGM Assist with in school promotion of PTA lead events Contribute ideas for the wish list Assist with running of PTA lead events Contribute ideas for fundraising activities
